What are the responsibilities and job description for the Order Entry Specialist position at Air Distribution Technologies, Inc.?
Ruskin, an Air Distribution Technologies, Inc. company, is seeking an Order Entry Specialist. The order entry specialist will serve as the data entry component of our order management process, working collaboratively with account managers and other disciplines to ensure order accuracy and post-sale functions, such as return goods and credit requests are managed to the customer’s expectations.
What You'll Do:
- Accuracy by working collaboratively with account managers and other disciplines to ensure the order review process is followed, facilitating accurate collection of order details, including part numbers, quantities, pricing, drawing numbers, ETO numbers, and schedule dates meeting customer expectations.
- Speed though processing standard EDI batch orders at established interval and performing triage to separate orders requiring manual intervention, working with account managers to facilitate necessary engagement with other disciplines to quickly resolve order hangups.
- Service by managing the change order process, in collaboration with account manager, to ensure change requests are accurately documented and processed in alignment with internal processes.
- Results through utilizing ERP system and related applications to facilitate distribution of customer-facing documents such as order acknowledgments, shipping papers, invoices.
- Satisfaction by working with Account Managers to assist in quickly and accurately processing custom orders, express requests, product returns, and warranty repairs.
- Growth through working with Sales and Account Managers in supporting actions required to set up new accounts following company procedures.
- Problem solve by Working with IT and other disciplines to reconcile discrepancies between the ERP systems (AS400 and MacPac), to ensure invoicing accuracy among other critical system functions.
What You'll Bring:
- 2 years of experience in order entry or administrative role in a manufacturing or distribution environment
- Exceptional attention to detail and accuracy while managing high-volume data entry
- Excellent verbal and written communication skills for clear interaction with internal teams
- Collaborative team player comfortable working across departments and adapting to changing priorities
- Experience with MS Office products, including Power Bi and ERP software, such as AS400, MacPac, SAP, or similar.
