What are the responsibilities and job description for the Admin Asst I position at Air Distribution Technologies, Inc.?
General Purpose: Perform a wide range of administrative and office support to help assist in the overall operation of the company
Duties And Essential Job Functions
Answer Phones - Ensure all calls are answered and sent to the correct person. Check voicemails in the morning and forward to the appropriate people.
Maintain group emails – Forward emails from 3 different mailboxes throughout the day.
Data Entry – Various types of data entry, from orders to possible pricing.
Literature Fulfillment – Pull literature, assemble catalogs with and without pricing. Prepare for shipping by boxing and filling out necessary paperwork. Create booklets using binding machine.
Daily and Weekly Reports – Various reports ran and emailed daily and
Weekly.
Mail – Process outgoing mail. Sort and distribute incoming mail.
Kitchen – Keep up with stocking, when necessary.
Catering – order food for large groups and help set up.
Various Projects – Frequently receive spreadsheets/projects from managers to help with maintaining customer changes, sales reports, etc.
Qualifications
Must have strong communication skills, written and verbal
Attention to detail and high level of accuracy
Excellent people and telephone skills
Excellent organization skills
Ability to manage a multi task environment
Basic math and typing skills
Good working knowledge of Word and Excel
Education And/or Experience
High School Diploma or higher
1-2 plus years of related experience and/or training is helpful
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills
Ability to calculate figures and amounts such as discounts and percentages. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
To perform this job successfully, an individual should have knowledge of MS Excel Spreadsheet software and MS Word, MS PowerPoint Word Processing software,
