We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant / Office Manager to provide executive-level support to senior leaders within a fast-paced Real Estate organization. This individual will serve as a trusted partner to leadership, helping manage day-to-day operations, coordinating complex schedules and travel arrangements, and ensuring seamless administrative support across multiple teams and locations.

Responsibilities
- Provide administrative support to senior leaders across multiple locations and time zones
- Manage complex calendars, scheduling, and meeting coordination
- Coordinate domestic and international travel and prepare expense reports using Concur
- Prepare presentations, meeting materials, and client-facing documents
- Organize agendas, logistics, and materials for recurring business meetings
- Maintain databases, records, and business documentation
- Coordinate mail distribution and support office operations
- Assist with office culture initiatives and special projects
- Provide backup support to the broader administrative team as needed
Qualifications
- Previous experience supporting executives in a professional, fast-paced environment
- Associate's degree required; Bachelor's degree preferred
- Strong calendar management, travel coordination, and administrative support experience
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
- Experience with Concur and Adobe Acrobat preferred
- Excellent organizational, communication, and multitasking abilities
- Strong attention to detail, professionalism, and problem-solving skills
- Ability to prioritize competing responsibilities and work independently
