Project Management Administrator – Government Contracts (DLA Focus)
Job Summary
We are seeking a detail-oriented Project Management Administrator to support multiple Project Managers working on U.S. Government contracts, with a primary focus on Defense Logistics Agency (DLA) programs. This role is critical to keeping projects organized, compliant, and moving forward by handling administrative, sourcing, and pricing support functions.
The ideal candidate has experience with government contracting, is comfortable working with technical drawings, and thrives in a fast-paced, deadline-driven environment.
Key Responsibilities
Project & Contract Support
- Provide administrative support to Project Managers across multiple active DLA and government contracts
- Track project milestones, deliverables, and due dates to ensure on-time execution
- Maintain accurate project documentation, correspondence, and contract files
- Assist with compliance requirements related to government contracts (DFARS, FAR, etc.)
Sourcing & Pricing Support
- Support sourcing activities by identifying vendors, requesting quotes, and tracking supplier responses
- Assist in cost analysis and pricing preparation for government contract submissions
- Maintain pricing records, supplier quotes, and historical cost data
- Coordinate with suppliers to clarify technical or commercial requirements
Technical & Drawing Review
- Read and interpret engineering drawings and technical data packages (TDPs)
- Assist Project Managers by flagging drawing issues, ambiguities, or missing information
- Help ensure supplier quotes align with drawing and specification requirements
Administrative & Cross-Team Support
- Act as a central administrative resource for the Project Management team
- Prepare internal reports, summaries, and status updates
- Assist with document control, revisions, and submissions
- Improve internal processes to streamline project execution and communication
Required Qualifications
- Experience working with U.S. Government contracts (DLA experience strongly preferred)
- Familiarity with FAR/DFARS or government contracting procedures
- Ability to read and understand technical drawings and specifications
- Strong organizational skills and attention to detail
- Proficiency with spreadsheets, document management, and project tracking tools
- Strong written and verbal communication skills
Preferred Qualifications
- Previous experience in aerospace, defense, or industrial manufacturing
- Experience supporting multiple Project Managers simultaneously
- Understanding of procurement, sourcing, or supply chain processes
- Experience working with ERP or contract management systems
