Position Overview

Aeras MEP, Inc is a commercial HVAC company seeking a motivated and detail-oriented Accounting Clerk (Entry Level) to join our growing accounting team. This position will focus primarily on Accounts Receivable (AR) while also being cross-trained in Accounts Payable (AP) to support a collaborative, team-based environment.

This is an entry-level role where training will be provided; however, candidates must have either 6 months hands-on AR experience or accounting-related education.

Key Responsibilities

• Assist in the full cycle of invoicing using BuildOps:
• Review technician notes and recover any missing billable expenses
• Review labor hours for accuracy and completeness
• Review internal notes and documentation related to each job
• Ensure all invoices are supported with required documentation by obtaining and verifying items such as PM reports, estimates, work order numbers, and signed customer approvals in accordance with customer-specific requirements
• Ensure each invoice aligns with how each customer prefers to receive billing (format, backup, delivery method, etc.)
• Ownership of filing, recording and tracking customer invoices via filing systems and shared Excel documents
• Assist in AR aging cycles:
• Must be comfortable sending professional email follow-ups to customers regarding past due invoices (using provided templates)
• Ownership of tracking and updating customer communication of past due invoices in shared Excel documents
• Audit customer files and billing requirements on a regular basis
• Creating new customer files
• Updating new customer or changing the customer's billing requirements documentation.
• Quarterly audit of customer files to ensure accurate recorder keeping.
• Assist with administrative tasks supporting the Controller
• This will include running errands for the Controller such as bank deposits, mail runs, and supply runs as needed.
• Cross-train in Accounts Payable (AP) to support team coverage when needed
• Additional tasks needed to support sales, service, and project departments
• Creating new customers, site address, and contacts in BuildOps
• Daily review of expired quotes to ensure delayed service calls are billed promptly.
• Sending supporting documentation as needed when requested
• Proactively assisting in the gathering and verification of all supporting billing documentation (PM reports, work order numbers, signed documents, etc.)

Requirements

• Must live within 30 miles of Senoia, GA
• Must be able to work on-site 5 days per week
• At least 6 months of experience in AR or Accounting-related education required, either both in HVAC, construction, or similar service-based industries
• Highly organized and detail-oriented
• Comfortable working in Excel and Outlook daily
• Ability to follow processes and instructions exactly as required
• Professional written communication skills
• Willingness to learn and support team responsibilities in a highly coordinated environment within structured oversight and shared workflows
• Demonstrates ownership and follow-through in assigned work
• Able to support a fast-paced office environment with accuracy
• Must pass a background check
• Must pass drug screening

Preferred (Not Required)

• Experience with QuickBooks Online, Oracle, Adobe Acrobat, or similar accounting and document management systems
• Familiarity with BuildOps or similar field service platforms

Work Environment, Compensation & Benefits

• Monday – Friday 8:00 AM – 4:30 PM (8-hour workday lunch)

• Salary range is $37,440-41,600.00 (based on experience)
• 2 weeks PTO (after 6 months)
