Key Responsibilities
Front Desk & Administrative Duties
- Greet patients and visitors in a courteous, professional, and compassionate manner
- Answer and triage incoming phone calls; take accurate messages and route appropriately
- Schedule appointments on multiple provider schedules
- Maintain accurate patient demographic and insurance data in the electronic medical record (EMR)
- Manage check-in and check-out processes efficiently
- Assist with medication management and refills
- Handle medical records requests and general administrative tasks
- Assist with coordinating referrals to specialists, imaging centers, and community resources
- Track referral statuses and follow up as needed
- Communicate with patients, families, and caregivers regarding appointments and next steps
- Support care transitions (e.g., hospital discharge follow-up scheduling)
- Assist clinical staff with non-clinical care coordination tasks
- Communicate routine test results and clinical messages to patients by phone or portal, as directed by clinical staff
- Reinforce provider instructions and ensure patient understanding, escalating questions or concerns appropriately
- High school diploma or equivalent required
- Prior experience as a medical receptionist or in a healthcare office preferred
- Familiarity with EMR systems (experience with eclinicalWorks is a plus)
- Basic understanding of medical offices
- Warm, patient, and respectful communication style
- Strong organizational and multitasking skills
- Attention to detail and accuracy
- Ability to maintain confidentiality and professionalism
- Comfort working with elderly patients, family members, and caregivers
- Team-oriented with a willingness to assist where needed
