Role OverviewThis is a full-time, on-site role in Scottsdale with occasional remote flexibility when appropriate. As the Receptionist / Front Office Coordinator, you are the face and voice of ACE. You’ll manage the front desk, support intake and file management, assist clients, and keep communication flowing between our team, law firms, medical providers, and insurance carriers.
You’re the one who prevents chaos — or at least keeps it looking organized.
- Greet clients professionally and manage check-ins/check-outs for vehicles.
- Answer phones, route calls, and take accurate messages.
- Maintain a clean, organized, professional front office environment.
- Assist with intake forms, uploading documents, and updating case/vehicle notes.
- Organize files in CRM/Google Workspace and ensure documentation is complete.
- Coordinate with tow drivers, adjusters, and the ACE team daily.
- Schedule follow-ups, assist with vehicle updates, and track pending tasks.
- Prepare simple reports or updates for management when needed.
- Support business development by ensuring high-quality communication with law firms and medical providers.
- Keep clients informed, calm, and confident throughout their process.
- Address issues quickly and professionally — no leaving people hanging.
- Represent ACE’s brand and standards at all times.
