Summary:
Ricoh is seeking a professional and customer-focused Receptionist & Switchboard Operator to provide front desk and administrative support within a legal office environment. The ideal candidate will be proactive, detail-oriented, and skilled in delivering exceptional client-facing service.
Responsibilities:
- Welcome and assist visitors, employees, clients, and guests in a professional manner
- Manage and schedule meeting rooms, ensuring readiness (supplies, beverages, video conferencing, etc.)
- Answer and route incoming calls using proper phone etiquette
- Perform light clerical/administrative duties:
- Prepare documents, maintain files, calendars, and correspondence
- Assist with scheduling appointments and meetings
- Provide basic legal document support as required
- Support attorneys, paralegals, and legal administrative staff with value-added services
- Maintain visitor/guest security procedures
- Track attorney and staff whereabouts to manage calls and visitors efficiently
- Act as concierge for clients and guests (local restaurants, services, etc.)
- Maintain professional lobby appearance and cleanliness
- Order/organize supplies and perform light hospitality tasks (coffee, water, catering orders)
- Participate in company/community initiatives and service events
- Perform additional duties as assigned by the Site Manager/Supervisor
Requirements:
- High school diploma required; Associate’s or Bachelor’s preferred
- 2 years of related business/reception experience (law firm or legal environment strongly preferred)
- Strong administrative background with MS Office Suite (Word, Excel, PowerPoint) proficiency
- Excellent organizational, multitasking, and communication skills
- High level of professionalism and customer service orientation
- Ability to adapt quickly and maintain a proactive approach
