Administrative Resource Options is hiring for an Office Coordinator. The coordinator should have excellent customer service skills and a proactive approach to supporting colleagues in the office.

The Office Coordinator will be well-versed in policies and procedures and will be able to actively discover new ways to do the job more effectively and efficiently.

Responsibilities:

  • Serve as the main greeter and point of contact for all colleagues and visitors coming into the office each day
  • Assist with daily office acclimation when colleagues and guests arrive, and throughout the day. This may include hoteling reservations, providing supplies, conference room reservations, meeting/event set up, restaurant reservations, technology issues, notary services, etc.
  • Maintain the office appearance and ensure the organization and cleanliness of workstations, private offices, conference rooms, cafes, and other common areas
  • Meeting, event, and training coordination for both internal and external gatherings, including room setup/cleanup, catering logistics and set-up, ensuring materials needed are prepared and provided timely, etc.
  • Manage supplies/inventory for the cafes, copy/production centers, conference rooms, etc.
  • May manage relationships with building management, security, engineering, and outside vendors.
  • Assist new hires with their onboarding and acclimation
  • May serve as Authority to Approve processor within procurement system (Ariba), in alignment with national and regional guidelines
  • Print production including bind, copy, scan (i.e.: proposal production, tab printing, lamination, binding, high volume printing)
  • File room administrator (i.e.: creating/tracking hard copy files via GT file system and maintain a solid knowledge of firm information governance and record retention policies
  • Mailroom duties (i.e.: processing incoming/outgoing mail/packages via USPS, UPS/FedEx, local courier service.)
  • Coordinate, manage and enforce the office and conference room hoteling model using Condeco
  • Set-up firm technology, conference room audio-visual equipment, and firm issued mobile devices. Become quickly familiar with the firm’s Enterprise Transformation structure and processes along with the ability to escalate issues accordingly
  • Continually check-in with colleagues throughout the office to ensure their needs are met
  • Proactively communicate issues, challenges, and solutions upward to the Supervisor/Manager on office matters

Qualifications:

Requirements:

  • Excellent, proactive customer service skills
  • 2 years in the hospitality industry including direct interaction with customers
  • Strong facilities management experience necessary
  • Proficient in MS Office Suite
  • Anticipate and prioritize customer service needs/administrative needs and deliver high quality service and results
  • Understand the firm’s service lines, industries and client engagement structure in order to work effectively with stakeholders and clients
  • Excellent organizational and multitasking abilities and problem-solving skills
  • Ability to have high regard for confidential information.
