This role serves as the primary point of contact for employees, visitors, and vendors while ensuring a welcoming and well-organized office environment. The ideal candidate combines strong customer service skills with administrative expertise.
Key Responsibilities
Front Office & Visitor Experience
- · Serve as the primary point of contact for visitors, vendors, and employees entering the facility
- · Provide a professional and welcoming front office presence
- · Manage visitor check-in procedures and notify hosts of arrivals
- · Issue, activate, and retrieve employee, temporary and visitor badges in accordance with security protocols
- · Maintain and audit temporary access card logs for accuracy and completion
- · Maintain & Audit Equipment Release Forms
- · Monitor CCTV systems and escalate suspicious or safety-related concerns per protocol
- · Maintain visitor logs and ensure compliance with company access procedures
- · Route incoming calls and general inquiries to the appropriate departments
Administrative Coordination
- · Manage conference room reservations and meeting logistics
- · Assist with meeting setup and hospitality coordination
- · Submit purchase requisitions and administrative service requests
- · Maintain seating charts and office administrative documentation
- · Support offsite records retention programs
Facilities & Office Support
- · Coordinate service calls for office equipment and facility needs
- · Assist with administrative communications and office coordination
- · Support site leadership with administrative projects as assigned
- · Maintain and update seating charts
- Cross-Functional Support
- · Provide backup support for shipping, receiving, and mail operations
- · Assist with office readiness and shared workspace organization
- · Support team coverage during staff absences or peak workload periods
Qualifications
- · 3 years of administrative, office coordination, or executive support experience
- · Strong customer service and interpersonal communication skills
- · Professional presence and ability to interact with executives and guests
- · Highly organized with strong attention to detail
- · Ability to manage multiple priorities in a fast-paced office environment
- · Proficiency in Microsoft Office and general office technology
