What You’ll Do
Accounting & Financial Support
- Maintain accurate financial records and properly code invoices and expenses
- Support monthly billing and respond to financial inquiries
- Manage company credit card accounts and reconciliations
- Facilitate bi‑weekly payroll and audit labor entries
- Assist with budgeting, audits, and compliance with accounting and payroll regulations
Project Accounting & Administration
- Support job costing and bid preparation
- Prepare monthly invoices, progress pay applications, and job cost reports
- Coordinate project documentation including change orders and lien waivers
- Track project financials, investigate variances, and support Project Managers
- Close out projects with final billing and payment collection
Administrative & Team Support
- Organize and maintain digital and paper filing systems
- Assist with company events and special initiatives
- Communicate professionally with clients, vendors, and internal teams
- Handle confidential information with integrity and discretion
Human Resources Support
- Assist with employee benefits administration (401(k), PTO, etc.)
- Support compliance with payroll tax laws and benefit audits
What We’re Looking For
- 5 years of accounting or bookkeeping experience
- Strong knowledge of QuickBooks, Excel, Word, and Outlook
- Experience with construction or project-based accounting (preferred)
- Familiarity with AIA documents, Pantera, Bluebeam, Adobe Acrobat, and payroll systems a plus
- Highly organized, detail-oriented, and able to multitask
- Valid Wisconsin driver’s license and ability to lift up to 25 lbs
