Job Description:
Addison Group is seeking a Senior Administrator on behalf of our client. This position provides high-level administrative support to senior leadership while assisting with project coordination, business operations, and practice group activities. The ideal candidate will have strong executive support experience, excellent organizational skills, and the ability to manage competing priorities in a fast-paced professional services environment.
This role will support multiple senior executives by coordinating daily administrative needs, managing schedules, assisting with client and project-related activities, and partnering with internal teams to ensure operational goals are met.
Key Responsibilities:
- Provide comprehensive administrative support to senior executives, ensuring their business and operational responsibilities are effectively managed.
- Serve as a primary liaison between leadership and internal departments to coordinate requests, processes, and follow-up items.
- Manage complex domestic and international travel arrangements, including scheduling logistics for meetings and business development activities.
- Support calendar management by prioritizing appointments, coordinating meetings, and helping maximize executive productivity.
- Prepare meeting materials, including agendas, presentations, and supporting documentation; track and distribute follow-up actions as needed.
- Assist with business development efforts by coordinating outreach activities, external meetings, and speaking engagements.
- Maintain and update executive biographies, resumes, and professional materials.
- Prepare expense reports and assist with expense review and approval processes.
- Support project administration activities, including engagement documentation, internal forms, proposals, and project tracking.
- Assist with monthly billing processes, project budgets, and financial reporting requirements.
- Review client agreements and billing requirements, including invoice adjustments, holds, and write-off processes.
- Provide budget updates and financial tracking support for assigned projects.
- Collaborate with teams including Accounting, Legal, Marketing, and other departments to ensure deadlines and business needs are met.
- Assist with event coordination and office initiatives as needed.
- Provide backup administrative, reception, and facilities support to ensure smooth office operations.
Qualifications:
- Minimum of three years of senior-level administrative or executive support experience, preferably within professional services, consulting, or a law firm environment.
- Experience supporting multiple executives or senior leaders is required.
- Strong project coordination or project management experience preferred.
- Must have prior billing experience, including familiarity with invoicing processes, project budgets, and billing requirements.
- Advanced proficiency with Microsoft Word, PowerPoint, and Outlook; strong working knowledge of Microsoft Excel required.
- Experience with Aderant or similar billing software preferred.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong communication skills with the ability to collaborate effectively with individuals at all levels.
- Ability to adapt support style based on executive preferences and business needs.
- Bachelor’s degree preferred; equivalent professional experience will be considered.
