Job Description:
Our client is seeking a Part-Time Administrative Coordinator to provide operational support to a high-level engagement team. This individual will interact regularly with senior leadership and external stakeholders, helping coordinate meetings, manage communications, and support event logistics. This is a short-term contract role covering a team member leave.
Key Responsibilities:
- Coordinate scheduling and logistics for meetings, calls, and executive-level interactions
- Deliver high-touch customer service to internal leaders and external stakeholders, including C-suite contacts
- Draft and manage professional email communications and correspondence
- Maintain accurate records and track engagement activities within internal systems
- Assist with meeting and event preparation, including materials, agendas, and follow-ups
- Support roster tracking, including creating name badges and related materials using templates
- Prepare and ship materials for meetings and events (light packing only)
- Generate basic reports and assist with data management tasks
- Provide cross-functional support to team members as needed
Qualifications:
- 3–5 years of experience in administrative support, coordination, or customer-facing roles
- Strong communication skills, both written and verbal, with the ability to interact professionally with senior executives
- Exceptional attention to detail and organizational skills
- Experience managing calendars, scheduling calls, and coordinating logistics
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)
- Comfortable learning new systems and tools quickly
- Prior experience supporting events, meetings, or team operations preferred
- Experience in healthcare or nonprofit environments is a plus
