Job Description
The Scheduler develops, maintains, and reviews detailed project timelines using MS Project, coordinating closely with contractors and internal project teams. This role ensures that project schedules remain accurate, up to date, and aligned with key milestones and the critical path, using schedule validation tools to highlight changes, risks, and delays. The Scheduler facilitates regular meetings to gather progress updates, review schedule impacts, and support informed decision-making across multiple functional teams.
Responsibilities
- Serve as the primary point of contact with contractors to receive and review project timelines and schedule updates.
- Schedule and lead weekly meetings with the project team to review overall timeline status, including progress on tasks, changes, and delays.
- Collect detailed input from project team members on activities, milestones, dates, and durations to maintain an accurate project schedule.
- Build and maintain the baseline and updated project timelines in MS Project, ensuring all key milestones and dependencies are accurately represented.
- Identify and select key milestones to incorporate into the MS Project timeline and confirm that the critical path is correctly defined and maintained.
- Run schedule validator reviews using an online schedule validation tool to compare timeline updates against the baseline schedule.
- Prepare and present schedule validator summaries that clearly highlight schedule changes, variances, and associated risks.
- Drive detailed weekly schedule review sessions, calling out changes, potential risks, and impacts to critical path and milestones.
- Coordinate and schedule weekly meetings with the internal project team to review schedule status and required actions.
- Conduct bi-weekly schedule review meetings with contractors to align on progress, address delays, and agree on timeline adjustments.
- Organize and lead review meetings with functional teams (such as Electrical and MEP) to discuss specific activities, dependencies, and schedule impacts.
- Work collaboratively with multiple teams to ensure that schedule data is accurate, complete, and consistently updated.
- Document and track schedule-related decisions, changes, and action items arising from meetings and reviews.
Essential Skills
- Proficiency in MS Project for building, updating, and managing detailed project timelines.
- Experience working with multiple teams and stakeholders to gather schedule inputs and coordinate activities.
- Ability to analyze project schedules, identify critical paths, and assess the impact of changes and delays.
- Strong organizational skills to manage recurring meetings, workshops, and schedule reviews.
- Effective communication skills to facilitate meetings and clearly present schedule findings, risks, and recommendations.
- Attention to detail when reviewing schedule updates and validator summaries.
Additional Skills & Qualifications
- Experience using online schedule validation tools to compare updated schedules against baseline timelines.
- Experience in coordinating with functional teams such as Electrical and MEP on project activities and milestones.
- Familiarity with conducting workshops and alignment sessions to establish and confirm baseline schedules with contractors.
- Ability to prepare concise and informative schedule reports and summaries for project stakeholders.
Work Environment
This position operates in a hybrid environment with approximately 80% of the work performed remotely. The role requires attendance at timeline workshops, particularly early in the project, and again to align on the baseline schedule with contractors. The Scheduler works primarily with MS Project and an online schedule validation tool, collaborating virtually with internal project teams and external contractors through regular meetings and reviews.
Job Type & LocationThis is a Contract position based out of Cleveland, TN.
Pay and BenefitsThe pay range for this position is $70.00 - $80.00/hr.
