Job Description
This Project Administrator role supports commercial building projects by coordinating project documentation, insurance requirements, daily reporting, purchasing activities, and project closeout documents. You will work closely with the project management team to ensure that all administrative and documentation processes run smoothly, accurately, and on time within a dynamic, fast-paced environment.
Responsibilities
- Manage and order office equipment, office services, and supplies to ensure the team has the resources needed to operate efficiently.
- Coordinate and manage the onboarding process for project personnel and office employees, ensuring all requirements are completed accurately and on time.
- Assist new hires with the completion of new hire documents and other administrative onboarding tasks.
- Welcome and assist visitors to the office, including new employees and other guests, ensuring a professional and helpful experience.
- Ensure contract drawings are regularly updated, properly maintained, and distributed to the appropriate stakeholders.
- Monitor field reporting activities, including but not limited to daily reports, toolbox talks, and rental equipment tracking, to ensure timely and accurate submission.
- Maintain the project GMP (Guaranteed Maximum Price) tracking matrix and assemble monthly backup documents to support project financial reporting.
- Manage project insurance requirements, including Certificates of Insurance (COIs) and participation in programs such as OCIP and CCIP, ensuring compliance with project and contractual obligations.
- Oversee project personnel onboarding requirements, ensuring that all project-specific documentation and compliance items are completed.
- Communicate regularly with vendors, general contractors, subcontractors, and project managers to clarify project requirements and support effective coordination.
- Advanced Excel skills, including the ability to create, maintain, and analyze complex spreadsheets and tracking matrices.
- Basic knowledge of the Microsoft Office Suite, including Word and Outlook, to prepare documents and manage communications.
- Outstanding communication skills across phone, email, video conference, and in-person interactions.
- Well-developed organizational skills with the ability to manage multiple tasks, documents, and deadlines in a fast-paced environment.
- 2–3 years of experience in a related field, such as project administration, coordination, or construction administration.
- High school diploma or equivalent educational background.
- Experience with project coordination in a construction or commercial building environment.
- Administration experience in large, fast-paced industrial projects (preferred).
- Construction experience sufficient to understand project documentation, terminology, and workflows.
- Demonstrated ability to support project managers and field teams with documentation, reporting, and compliance requirements.
- Experience working on commercial building or industrial construction projects.
- Proficiency with Microsoft Office, including Word, Outlook, and Excel, in a professional setting.
- Strong attention to detail and accuracy when handling project documents, insurance records, and tracking matrices.
- Ability to build positive working relationships with vendors, general contractors, subcontractors, and internal project teams.
- Comfort working in a dynamic environment where priorities may shift based on project needs.
This role operates in an office environment that supports commercial building and industrial construction projects. You will use standard office technologies, including Microsoft Office applications such as Excel, Word, and Outlook, as well as communication tools for phone, email, and video conferencing. The position involves frequent interaction with project managers, field personnel, vendors, general contractors, and subcontractors. The work setting is fast paced and detail oriented, with an emphasis on timely documentation, organized record-keeping, and clear communication to support ongoing construction activities.

This is a Contract position based out of Apex, NC.
Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
