We are seeking a detail-oriented Contract Administrator to provide post-award acquisition and contract administration support for a Department of Defense (DoD) biomedical research organization. This position supports the full contract lifecycle by assisting with contract administration, invoice review, records management, and Contracting Officer's Representative (COR) support activities.
Key ResponsibilitiesContract Administration
- Review contract modifications and identify discrepancies for Government review.
- Support contract closeout activities by verifying deliverables, invoice completion, and required documentation.
- Maintain complete and organized electronic contract files in accordance with established policies.
- Conduct preliminary invoice reviews to verify contract deliverables and funding availability.
- Coordinate with contractors to resolve invoice discrepancies and documentation issues.
- Prepare draft COR documentation, including Monthly Reports, Quarterly Surveillance Reports, and Contractor Performance Assessment Reports (CPARS).
- Maintain accurate contract files containing invoices, deliverables, and supporting documentation.
- Coordinate invoice approvals and submission through Government payment systems.
- Review Other Direct Cost (ODC) and travel requests for compliance with contractual requirements and funding limitations.
- Verify supporting documentation and coordinate corrections with requestors when necessary.
- Assist with periodic reviews of acquisition files to ensure compliance with organizational policies.
- Maintain acquisition documentation in accordance with organizational records management procedures.
- Support Government personnel by ensuring acquisition files remain accurate, complete, and audit-ready.
- Complete all required Department of Defense and organizational training.
- Minimum two (2) years of administrative or acquisition support experience within the Department of Defense (DoD), Federal Government, military, or medical research and development environment.
- Experience supporting federal contract administration or acquisition functions.
- Strong analytical and organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications.
- Ability to work onsite full-time.
- Experience supporting biomedical research organizations or Federal research programs.
- Knowledge of FAR and DFARS.
- Experience supporting Contracting Officer Representatives (CORs).
- Experience with contract invoice review and post-award administration.
- Active DoD security clearance or the ability to obtain and maintain one.
