A-Z Bus Sales is seeking a detail-oriented and organized Commercial & Transit Sales Coordinator to support our sales team by managing the order process, coordinating bus deliveries, and maintaining accurate inventory and documentation.
This role is critical in ensuring a smooth sales cycle—from order processing to delivery—while providing exceptional internal and external customer support.
Key Responsibilities
- Review and process vehicle sales and purchase files to ensure accuracy and completeness
- Coordinate purchase orders, confirmations, and change orders with vendors
- Maintain and update factory order logs, tracking orders through completion
- Create vendor POs, sales orders, and deal records within company systems
- Support sales team with proposals, bid packages, and required documentation
- Process manufacturer rebates and invoices
- Monitor order status and assist with customer follow-up and delivery coordination
- Prepare reports for customers and internal stakeholders
- Attend weekly production meetings and collaborate across departments.
Key Performance Indicators (KPIs)
- Process bus orders within 24 hours with 100% accuracy
- Manage delivery schedules with 95% accuracy
- Complete rebate processing within required timelines
- Deliver accurate weekly and monthly reporting
Qualifications:
Required:
- High School Diploma or Associate’s degree
- 2–3 years of administrative or customer service experience
- Strong organizational, communication, and problem-solving skills
- Proficiency in Microsoft Office (Word & Excel)
- Strong attention to detail and ability to manage multiple priorities
Preferred:
- Experience in automotive, bus, or truck industry
- Familiarity with NetSuite or CRM systems
- Basic accounting or order processing experience
Work Environment:
- Office-based in Colton, CA
- Full-time schedule: Monday–Friday, 8:00 AM – 4:30 PM
- No travel required
