Position SummaryThe Department Secretary provides administrative and clerical support to the Rehab Services team to ensure efficient daily operations and a positive patient experience. This role manages patient scheduling, communication, records, and authorization workflows while maintaining professionalism and accuracy in a fast-paced clinical environment.Essential Duties & ResponsibilitiesAnswer and direct incoming phone calls in a courteous and professional manner.Schedule appointments for new and returning patients according to provider availability.Assist with patient registration, check-ins, and completion of departmental forms.Pull charts, file notes, and maintain patient records both paper and electronic.Perform digital faxing and manage incoming and outgoing clinical documents.Use the EMR and scheduling system to update patient information, appointment status, and documentation.Request and monitor authorizations and referrals as needed for patient services.Support chart management and ensure confidential handling of protected health information.Provide general clerical support to the Rehab Services team as needed to maintain efficient workflow.Required QualificationsEducation: High school diploma or equivalent.Certification: BLS (Basic Life Support) required.Experience: Minimum 1 year of medical office experience.Preferred SkillsExperience working in a medical front office or outpatient settingEMR experiencePatient scheduling experienceStrong organizational, communication, and multitasking skillsAbility to work independently and with clinical staff in a supportive mannerWork EnvironmentThe Department Secretary works closely with therapists, support staff, and patients in a clinical rehab setting and is expected to provide friendly, professional, and efficient service while maintaining HIPAA and confidentiality standards.Company DescriptionAlphaProTemps is specialized in providing "best-in-class" professional staff augmentation services.
