Position Overview
The Dispatcher is responsible for managing and coordinating the daily schedules, routing, and communication of vehicles and drivers to ensure efficient and timely operations. This role is critical to maintaining smooth operations, resolving issues promptly, and providing excellent support to both drivers and customers. The non-rotating Pitman schedule ensures predictable, stable working hours, fostering consistency and work-life balance.
Work Schedule
- Non-Rotating Pitman Schedule:
- 12-hour shifts (day or night) with a fixed 2-week rotation.
- Workdays: Week 1 – Monday, Tuesday, Friday, Saturday; Week 2 – Sunday, Wednesday, Thursday.
- Includes every other weekend off.
- Total: 14 shifts per 28-day period (7 workdays, 7 off-days).
Key Responsibilities
- Dispatch Operations
- Assign drivers and vehicles to routes based on operational needs and schedule requirements.
- Monitor real-time status of routes, vehicles, and drivers using GPS or other tracking systems.
- Communicate effectively with drivers regarding route updates, delays, or adjustments.
- Coordinate driver breaks and shift changes to comply with DOT regulations.
- Customer Support
- Respond promptly to customer inquiries regarding route status, scheduling, and service delays.
- Communicate any disruptions to customers and implement contingency plans as needed.
- Problem-Solving
- Address operational issues, including vehicle breakdowns, delays, or driver availability.
- Collaborate with maintenance teams to ensure vehicle readiness.
- Document and escalate incidents or accidents as required.
- Administrative Duties
- Maintain accurate records of dispatch activities, schedules, and driver hours.
- Generate daily, weekly, and monthly operational reports.
- Ensure compliance with all company policies and regulatory requirements.
- Communication and Coordination
- Serve as the primary point of contact for drivers, customers, and management during shifts.
- Work closely with supervisors and planners to optimize schedules and improve efficiency.
- Facilitate shift handovers by documenting and communicating ongoing operational updates.
Required Skills and Qualifications
- Education: High school diploma or GED; additional certifications in logistics or dispatching preferred.
- Experience: Minimum of 2 years in dispatching, logistics, or transportation operations.
- Technical Skills: Proficiency in dispatch software, GPS tracking systems, and Microsoft Office Suite.
- Communication: Strong verbal and written communication skills.
- Problem-Solving: Ability to think quickly and make decisions under pressure.
- Attention to Detail: Highly organized with excellent multitasking abilities.
- Knowledge: Familiarity with DOT regulations and transportation industry standards.
Physical Requirements
- Ability to sit for extended periods during a 12-hour shift.
- Ability to operate computer systems and telecommunication devices effectively.
- Occasional lifting of equipment or supplies (up to 20 lbs).
