Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. Duties

  • Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate personnel
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and professionalism
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office
  • Perform data entry, proofread documents, and assist with basic bookkeeping using QuickBooks or similar software
  • Support calendar management by scheduling appointments, meetings, and reminders for staff members
  • Assist with office management tasks such as ordering supplies, maintaining cleanliness, and coordinating maintenance requests

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Prior experience as a receptionist or administrative assistant in medical or dental offices is beneficial but not required
  • Exceptional time management skills to prioritize tasks efficiently and meet deadlines
