Responsibilities
- Serve as a key point of contact and representative of the Executive Director in communications with high-level union management, elected officials, and other key stakeholders.
- Support the Executive Director in maintaining strong relationships with organizational partners, ensuring consistent, professional, and effective communication.
- Prepare the Executive Director for meetings, panels, and conferences by compiling background materials, talking points, and briefing documents.
- Attend key meetings with or on behalf of the Executive Director; document outcomes and ensure timely follow-up on all action items.
- Monitor and prioritize communications, requests, and commitments to ensure the Executive Director’s time is used effectively and strategically.
- Handle special projects and assignments with a focus on organizational priorities and cross-departmental collaboration.
- Represent the Executive Director and organization at internal and external functions, as assigned.
- Act as the primary point of contact for meeting-related follow-up and documentation.
- Draft, edit, and proofread correspondence, reports, presentations, and other written materials for the Executive Director.
- Ensure all communications are accurate, professional, and consistent with organizational standards.
- Maintain accurate databases and files, including trustee and leadership information.
- Serve as a liaison between the Executive Director and members of the leadership team, ensuring directives are clearly communicated and executed.
- Assign and track tasks delegated to leadership staff; escalate issues to the Executive Director as needed
- Oversee scheduling in collaboration with the Executive Assistant and ensure the Executive Director’s calendar reflects priorities and commitments.
- Troubleshoot and address issues raised by members, community participants, and other stakeholders in coordination with relevant departments.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Bachelor’s degree required; Master’s degree preferred.
- Minimum of four (4) years of progressively responsible administrative or project management experience, ideally supporting senior leadership or executive-level functions required
- Knowledge of healthcare workforce industry issues
- Knowledge of unions and labor management organizations
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with attention to accuracy and tone.
- Proven ability to exercise discretion, judgment, and confidentiality.
- Experience coordinating high-level meetings, managing staff, and facilitating follow-up across departments.
- Demonstrated ability to build and maintain professional relationships with diverse internal and external stakeholders, including union officials and political leaders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems.
