About the Role
1-800Accountant is looking for a proactive and organized Office Administrator to be the heart of our day-to-day operations. This role is perfect for a highly collaborative and service-oriented professional who can manage a variety of responsibilities, from greeting guests to supporting our teams and executives.
Key Responsibilities
External Support

Serve as the first point of contact for all guests and visitors from the front desk.

Coordinate interview schedules for recruiters and hiring managers.

Manage the receiving and distribution of all mail, packages, and deliveries.
Facilities Management

Act as the primary point of contact for third-party vendors for general repairs, large-scale projects, and routine maintenance (e.g., cleaning, vending machines, coffee service).

Maintain and distribute a weekly facilities update list to key stakeholders.

Collaborate with stakeholders to identify and implement facility improvements.
Team and Executive Support

Provide on-site administrative support to executives, including meal and travel coordination, meeting scheduling, and room blocking.

Order, organize, and restock daily snacks for the office.

Assist the HR team with on-site employee engagement events and office-wide events, such as the holiday party.

Manage the ordering and organization of company branded merchandise (SWAG).

Help with new hire onboarding activities, including setting up breakfasts and ordering lunches.
Administrative Support

Collect and distribute daily mail for the team.

Support the finance department by depositing and scanning checks.

Manage inventory and ordering of all office and kitchen supplies.

Assist with commission reporting as needed.

Provide light administrative and filing support to the HR team.
Qualifications and Experience

Must live within 15 miles of our Largo, FL office.

Proven experience in an administrative or office management role.

Excellent organizational and time-management skills with the ability to prioritize a diverse workload.

Strong communication and interpersonal skills for effective collaboration with internal teams and external vendors.

Proficiency in using office software (e.g., Microsoft Office Suite, Google Workspace).

Experience with basic facilities management and vendor relations is a plus.

A proactive, can-do attitude with a commitment to providing outstanding service.
Compensation
$18-20/hour
Part time 30 hours per week
