Essential Duties & Responsibilities
Payroll
  • Process weekly payroll accurately, maintaining records and ensuring compliance with company policies, state and federal laws, and bargaining agreements to correct errors on timecard entries.
  • Maintains accurate payroll records including day to day adjustments, gross to net calculations and preparing manual checks. Assists in resolving various payment issues including ACH reversals, stop payments, refunds, voids, and adjustments.
  • Administers the verification of employment process, manages State EDD unemployment claims, and oversees the company's paid time off program while maintaining precise employee records.
  • Ensure timely processing of status changes, wage deductions, garnishments, and all employee payroll transactions including new hires, terminations, transfers, promotions, union wage and fringe updates, benefit deductions, workers' comp rates, and state tax code adjustments, with communication to affected employees as necessary.
  • Manages all aspects of labor union matters, serves as the primary point of contact for union-related issues, provides reports, and maintains records. Additionally, ensures compliance with payroll processing systems, monitors changes in wage and tax laws, and communicates with tax agencies when necessary.
  • Maintains and submits monthly/quarterly/yearly reports and records for all state-required taxes, certified payroll projects, and union obligations.
  • Responsible for maintaining and updating all systems to ensure current polices, state and federal laws are being applied and followed correctly (taxes, fringes, benefit rates, etc).
  • Implement and establish auditing systems and procedures to ensure quality and minimize errors.
  • Ensures confidentiality and security of all payroll-related information, including source documents, data, and reports.
Accounting / Audits
  • Responsible for researching, organizing, compiling, and completing 401K, workers comp, benefits, and other audits passed down from accounting.
  • Provides monthly reporting for accounting as well as case by case reporting when needed
  • Manages earnings and deduction totals within accounting software and prepares necessary general ledger entries for accounting purposes.
  • Determines and corrects out-of-balance conditions as needed by accounting.
  • Supports monthly, quarterly, and year-end preparation efforts while collaborating with accounting and key leadership to fulfill reporting requirements.
HRIS
  • Maximizes functionality of HRIS system to positively affect organizations internal work environment by creating time for HR staff to allocate toward more impactful employee programs or issues.
  • Subject matter expert in the Reporting, Benefits, mJob, Sage Timberline and UltiPro.
  • Responsible for maintaining and updating all systems to ensure current polices, state and federal laws are being applied and followed correctly (taxes, fringes, benefit rates, etc.).
General Administration
  • Provides administrative support to the Human Resources and Accounting Department as needed (correspondence generation, record keeping, file maintenance, HRIS entry and report writing).
  • Acts as a backup to the Human Resources Generalist across various functional areas and performs other related duties as assigned or needed.
  • Responsible for updating materials within all sites for benefits, payroll, and union matters.
Knowledge, Education, and experience
  • 2 years' experience in payroll, A.S. or B.S. degree in Accounting a strong plus
  • FPC or CPP designation strong plus
  • Member of local APA Chapter for continued education and support, strong plus
  • Strong knowledge of federal and state regulations
  • Strong PC skills including proficiency in Excel
  • Ability to deal sensitively with confidential material
  • Customer service experience preferred
Physical Demands and Work Environment
The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbents may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle, or feel, and to stand, walk, reach, bend or lift up to 20 pounds.

Range of base pay is $95,000 - $125,000
