Position Summary:
Thisposition is key to the operation of the East CO SBDC.This position willmanage and execute projects, plan events and conferences, contribute tomarketing initiatives, manage event listings on our WordPress website, handleonline payments for events and conferences, and recruit eventsponsorships.fiscal, budget and administrative support to the EastColorado Small Business Development Center that serves 20 counties within ourterritory (Yuma, Weld, Washington, Sedgwick, Phillips, Prowers, Morgan, Otero,Logan, Lincoln, Las Animas, Kit Carson, Kiowa, Elbert, Crowley, Cheyenne, Bent,Baca, and the eastern part of Adams and Arapahoe counties). This role requiresstrong project management, event planning, marketing, and communication skills,as well as the ability to multitask and work in a fast-paced environment. Youmust travel the 20-county region to host events and need experience managing awebsite. This position is not paid by state funds, but grants received for theEast Colorado SBDC through the Small Business Administration.
Job Duties:
Project Management: Lead and manage projects and events from initiation tocompletion, ensuring adherence to timelines, grant cycles, budgets, and qualitystandards. Monitor project progress, identify and resolve issues, and ensuretimely completion. Collaborate with team members to ensure effectivecommunication and coordination. Develop project plans, including definingproject scope, objectives, deliverables, and resource allocation. Coordinateproject activities, complete tasks, and monitor progress to ensure successfulproject implementation. Manage and update projects via Basecamp. Conductregular project status meetings, providing updates and addressing any issues orrisks. Collaborate with cross-functional teams to gather project requirements,develop solutions, and ensure stakeholder alignment.
Event and Conference Planning: Develop and deliver comprehensive trainingprograms for small businesses, including training materials, presentations, andassessments. Conduct small business training sessions, workshops, and webinars,ensuring effective knowledge transfer. Plan and organize events andconferences, including venue selection, agenda development, logisticscoordination, and speaker coordination. Manage event budgets and trackexpenses. Develop event reports and submit them for specialty grant funding incoordination with the fiscal manager. Coordinate with vendors, sponsors, andattendees to ensure a smooth and successful event.
Marketing Initiatives: Contribute to marketing campaigns and initiatives topromote events and conferences alongside the marketing and communicationcoordinator. Develop marketing materials, such as brochures, flyers, and socialmedia content for events and conferences. Assist in creating and implementingmarketing strategies to increase event attendance and engagement. Assist increating and managing marketing campaigns across various channels, such associal media, email marketing, and digital platforms.
WordPress Website Management: Update and maintain event listings on ourWordPress website. Ensure accuracy and consistency of event information andregistration details. Optimize website content for better user experience andsearch engine visibility.
Online Payment Management: Set up and manage online payment systems forevents and conferences. Ensure secure and efficient payment processing. Monitorpayment transactions and resolve any issues or discrepancies.
Sponsorship Recruitment: Identify and approach potential sponsors for eventsand conferences. Develop sponsorship packages and proposals. Maintainrelationships with sponsors and ensure fulfillment of sponsorship benefits.
Networking and Community Engagement: Represent the organization atnetworking events, conferences, and community gatherings to build relationshipsand promote our brand. Collaborate with external partners and stakeholders toidentify potential partnership opportunities and enhance the organization'svisibility.
Administrative Support: Assist with scheduling and coordinating meetings andappointments. Maintain and update company databases and filing systems. Greetand assist visitors, clients, and employees. Answer and direct incoming callsand emails. Handle general inquiries and provide necessary information.
Internship Program: Program Design - Effective management of an internshipprogram involves designing a structured and comprehensive program that alignswith the organization's goals and objectives. This includes defining the scopeand duration of the program, establishing clear learning objectives, andoutlining the roles and responsibilities of interns and supervisors.Recruitment and Selection - The successful deployment of an internship programrequires a robust recruitment and selection process. This involves advertisinginternship opportunities, screening and shortlisting candidates, conductinginterviews, and ultimately selecting the most suitable candidates. Awell-defined selection process ensures interns possess the necessary skills,qualifications, and potential to contribute to the organization. Onboarding andOrientation - Once interns are selected, a well-executed onboarding andorientation process is crucial to successfully integrating into theorganization. This includes providing them with an overview ofthe organization's culture, values, policies, and procedures.Additionally, interns should be introduced to their supervisors and given aclear understanding of their roles and responsibilities within theorganization. Training and Development - An effective internship programprovides meaningful learning experiences and opportunities for professionalgrowth. This involves providing structured training sessions, assigningchallenging projects, and offering mentorship and guidance. Regular check-insand feedback sessions allow interns to enhance their skills, gain practicalexperience, and develop a deeper understanding of their chosen industry.Performance Evaluation and Support - To ensure the success of the internshipprogram, regular performance evaluations and support mechanisms should be inplace. This involves setting clear expectations and goals for interns,providing ongoing feedback, and evaluating their progress against predeterminedbenchmarks. Additionally, offering support and resources throughout theinternship period helps interns overcome challenges and maximize theirpotential.

Minimum Qualifications:
Education:
BA or BS degree in project management, marketing, communications, or a related field
Experience:
Requirements: Project management certification and bachelor's degree inproject management, marketing, communications, or a related field. Strongproject management skills, with the ability to prioritize tasks, multitask,manage resources, and meet deadlines. Excellent leadership and team managementabilities, with the capacity to motivate and inspire staff members. Experiencedeveloping and delivering effective training programs, preferably in acorporate or organizational setting. Strong knowledge of project managementmethodologies and tools. Proficiency in conducting needs assessments anddeveloping training materials. Proficiency in marketing platforms, analyticstools, and WordPress website management, including e-stores and CRM systems.Strong analytical and problem-solving skills to assess project performance andidentify areas for improvement. Ability to work independently andcollaboratively in a team environment. Experience in sponsorship recruitment isa plus. Flexibility and adaptability to work in a fast-paced, dynamicenvironment. A comprehensive understanding of marketing principles, trends, andbest practices. Must be able to report to the Greeley office at least 3-5 daysper week.
