Position Title: Elementary School Administrative Assistant

Department: Elementary School Main Office

Reports To: Building Principal

Qualifications

Education: Associate Degree or Bachelor’s Degree preferred

Experience: Previous experience in related field preferred

Skills: Experience with Microsoft and Google Applications preferred; experience with Infinite Campus, eFinance, and Red Rover preferred

Essential Duties and Responsibilities:

1. Serves as CONFIDENTIAL administrative assistant to the Principal.

2. Assist other district administrative personnel as needed, including MS/HS Counselor and MS/HS Assistant Principal/Athletic Director.

3. Greets visitors, staff, and students in a friendly and welcoming manner. Maintains a positive, friendly, and welcoming office environment for all stakeholders.

4. Willing to graciously collaborate with administration and other co-workers in achieving common goals for the benefit of the District and all its stakeholders.

5. Maintains school records (i.e., student records management software) and files for building, Principal, and related state/federal requirements. Assists with the Master schedule, scheduling of student courses, and other related duties as assigned.

6. Coordinates with administration and other administrative assistants to compile pupil accounting/attendance packet.

7. Works with the District state reporter in the validation of all required state reports.

8. Responsible for compiling and submitting bi-annual Immunization Report to the Health Department.

9. Serves as primary person in charge of daily student attendance verification.

10. Responsible for compiling and submitting weekly communicable disease report.

11. Prepares, distributes, files records/reports, correspondence, mailings, building permit scheduling, etc. related to building functions and Principal needs.

12. Monitors attendance for the building staff; submits teacher absence/substitute teacher payroll weekly to Business Office, and submits hourly staff payroll and attendance to Business Office bi-monthly.

13. Checks daily substitute list, works with principal to remedy sub shortages, and orientates substitute teachers.

14. Orders, processes, and maintains office materials and equipment; responsible for entering requisitions and confirming receipt of orders. Works with administrator to ensure proper accounts are charged/maintained.

15. Administers student medication according to policy and regulations, and provides appropriate first aid needs.

16. Makes and receives telephone calls, takes messages, routes calls; distributes building mail.

17. Prepares and submits cash/check deposits for building fundraising activity.

18. Attends professional development training as stipulated by administration.

19. Other duties as assigned.

20. The employee shall remain free of any alcohol or non-prescribed controlled substance in the workplace throughout his/her employment in the District.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of people.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS and ABILITIES: Ability to pass a word processing test at 80 words per minute. Ability to operate a computer and related software. Ability to get along with other people. Patience in dealing with parents and children. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
