We are seeking a dedicated, results-driven and compassionate Client Service Representative who thrives in a fast-paced environment and excels at multitasking. As the first point of contact for our clients, you will play a crucial role in delivering exceptional customer service and ensuring the smooth operation of the hospital. Your responsibilities will include managing the phone call, scheduling appointments, and addressing client inquiries promptly and professionally. This position requires a proactive and positive attitude. The ideal candidate will have excellent communication skills, strong ability to multitask, and a genuine passion for animals and their well-being.
Responsibilities:
Greet clients and their pets warmly, providing a welcoming environment.
Answer phone calls promptly and assist clients with scheduling appointments, providing information, and addressing any concerns
Manage client records, ensuring accuracy and confidentiality.
Coordinate with other team members to ensure seamless patient care, maintain a cohesive and efficient workflow, and support each other as needed.
Handle financial transactions
Assist with general administrative tasks that include emailing, texting, and calling clients
Manage the daily schedule appropriately to ensure timely and efficient care for the pets in our community on an hourly daily and monthly basis.
Embrace a proactive and task-oriented approach to customer service, anticipating client needs and providing timely solutions.
Demonstrate a strong work ethic and a willingness to take on new challenges in a fast-paced setting.
Quickly learn and adapt to clinic procedures, policies, and software systems to streamline operations.
Efficiently manage a high volume of incoming calls, appointments, and inquiries with a sense of urgency.
Prioritize tasks effectively, ensuring that all responsibilities are completed accurately and in a timely manner.
Demonstrate resilience and problem-solving skills
Maintain a positive attitude and professional demeanor at all times, representing the clinic in a positive light.
Take initiative to identify areas for improvement and contribute to the overall success of the clinic.

Additional Qualifications
Must have three years minimum of Excellent customer service.
Previous experience in a fast-paced customer service or administrative role is preferred, but not necessary
Strong interpersonal and communication skills, with the ability to interact confidently with clients and team members.
Proven ability to multitask, prioritize tasks, and work efficiently under pressure.
Quick learner with the ability to grasp new concepts and procedures rapidly.
Flexibility to adapt to changing priorities and schedules as needed.
Proficiency in using computer systems, electronic medical records, and office software.
Availability to work evenings, and rotating weekends.
Working Conditions:
This position requires working in a high-energy veterinary clinic environment with frequent client interactions and phone calls.
Must be comfortable working in a dynamic and fast-paced environment and the ability to handle frequently interruptions and multitask effectively.
Ability to remain calm and focused under pressure while maintaining a positive and professional demeanor.
Ability to lift up to 50lbs
Strong Odors and smells may be present at time
Cleaning and sanitizing after animals' messes.
