About the Opportunity

The Assistant Director of Undergraduate Enrollment Management (AD-UEM) develops and leads initiatives designed to strategically increase undergraduate enrollment in School of Medicine (SoM) Health Professions programs. The AD-UEM serves as the chief undergraduate enrollment management officer for the division, is part of the leadership team, and is critical in strategic planning, decision-making, and policy development.

What you'll do:

Recruitment:

  • Build assessment into all recruitment initiatives (e.g., email communications, travel), analyzing results of activities and adjusting recruitment strategies as needed. Track regional, national, and international trends in enrollment management and projected demographics. Track data specific to Health Professions programs to identify applicant/matriculant patterns.
  • In collaboration with other Health Professions team members, develop an annual strategic recruitment plan and deliverables, based on: Prior years' data; Current and projected enrollment in all Health Professions programs; and current trends.
  • Based on the annual strategic recruitment plan, organize and implement a communications plan that:
    • Includes multiple modalities (e.g., print, email, and call/text campaigns);
    • Is customized to segment (e.g., prospects, inquiries, applicants, admitted, or deposited students; freshmen, transfers, or graduate students; and other key stakeholders, such as parents, counselors, or HS/college faculty);
    • Highlights key program differentiators; and
    • Provides students with timely information that helps them navigate the application and enrollment process.
  • Based on the annual strategic recruitment plan, and in collaboration with other Health Professions team members, develop an annual recruitment travel schedule. Serve as the primary undergraduate recruiter for Health Professions programs, coordinating with others in Student Services and within academic departments to ensure appropriate staffing for recruitment travel and on-campus events (e.g., open houses, group visits). Assess additional requests for travel based on resources and cost/benefit to the Health Professions division.
  • Coordinate faculty/staff involvement in recruitment campaigns to ensure deadlines are met and work is completed.
  • In collaboration with the strategic communications team, manage recruitment materials (e.g., brochures, giveaway items). Develop new material and revamp and update current material. Ensure supplies are ready for each season and throughout the recruitment cycle as needed.
  • Serve as primary contact for prospective undergraduate students and families. Meet with families and students on campus and develop personalized visits, including group visits, class visits, and virtual and in-person open houses.
  • Develop and maintain relationships with key stakeholders in the state and region and, if strategically viable, beyond (e.g., high schools for first-time freshmen, universities/colleges for transfer and professional/graduate prospects). Develop strategies to identify and enter new markets.
  • Manage the Health Professions Student Ambassador group:
    • Recruit and train students to represent Health Professions programs at recruiting events, including but not limited to open houses, NSO, group visits, and hometown high school recruitment.
    • Coordinate ambassador involvement in recruitment campaigns to ensure deadlines are met and work is completed.
  • Serve as primary undergraduate liaison for Health Professions programs with campus partners, e.g., Office of Admissions.

Admissions and Change of Major:

  • Support prospective students throughout the application process, working to ensure they understand the process and helping to resolve issues.
  • Manage the transfer admission and major change processes for all students seeking to transition into SoM undergraduate programs. For programs with specific admission criteria, review candidates for compliance with admission requirements and, in collaboration with program faculty, determine eligibility and provide procedural guidance to students. As needed, refer transfer and change of major students to a member of the academic advising team for support through their transition into SoM. Serve as the departmental liaison with the University transfer concierge.

Strategic Planning and Unit Leadership:

  • Engage in long-term planning for the unit and ensure that the goals of the unit are aligned with the overall goals of the School of Medicine Health Professions.

Other:

  • Serve as a presenter and guest lecturer for reputational enhancement at various venues including high schools, colleges/universities, and WVU-related functions and classes.
  • Analyze enrollment data and compile reports.
  • Works on special projects and other duties as assigned.

Qualifications

  • Bachelor's degree; Master's preferred.
  • A minimum of two (2) years of experience:
    • Student recruitment
    • Customer service
    • Marketing and communications (preferably including professional social media experience)
  • A minimum of one (1) year of experience:
    • Strategic planning/project or program management
    • Supervising or managing student volunteers
  • Excellent written and oral communication skills
  • Excellent time management and organizational skills.
  • Comfortable and effective public speaking skills.
  • Demonstrated ability to work collaboratively with internal and external constituents.
  • Demonstrated customer service skills.
  • Demonstrated ability to think analytically, complete research, and create and carry out assessments.
  • Demonstrated competency with software including Excel and Word. Target X, MailChimp, and Banner preferred.
