Job Description

Job Description

The Washington Area Community Investment Fund (WACIF) seeks an Events and Training Coordinator to support the Programs department and the Education and Advisory Services team. The Events & Training Coordinator will play a crucial role in assisting with the planning and execution of workshops, events, and training activities. This position works directly with the Education and Advisory Services Manager as well as Program Directors and Managers and will be responsible for coordinating all logistics associated with Wacif’s signature programs and advisory services offerings, including both in-person and virtual events and programmatic offerings. The Coordinator will collaborate closely with Program leaders, instructors, and event vendors to ensure the seamless execution of program events. Additionally, the Coordinator will handle invoicing and provide support in monitoring the budget to meet grant requirements. The Events & Training Coordinator will also be responsible for tracking group technical assistance and using CRM software for data management.

DUTIES & RESPONSIBILITIES

Event Planning/Coordination:

  • Assist in planning and coordinating workshops, training activities and events across all Wacif programs.
  • Coordinate logistics for both in-person and virtual events, ensuring smooth execution.
  • Utilize tools such as Zoom, Eventbrite, HubSpot and Monday.com to manage the Programs department training and events calendar efficiently.
  • Collaborate with instructors and event vendors to ensure all program events run smoothly.

Financial Administration:

  • Handle invoicing for training activities and events.
  • Assist in budget monitoring to meet grant requirements.
  • Work closely with the Education and Advisory Services Manager to ensure financial compliance.

Communication and Documentation:

  • Maintain clear and effective communication with internal and external stakeholders, instructors, event vendors, etc.
  • Prepare and distribute event-related materials, including agendas, training materials, and feedback surveys.
  • Maintain accurate records and documentation related to training activities and events.

Data Tracking and CRM Software:

  • Implement and manage a system for tracking group technical assistance provided during workshops and training programs.
  • Utilize Customer Relationship Management (CRM) software to record and organize data related to training activities and events, and participants.
  • Ensure data accuracy and consistency in the CRM system.
  • Assist the Education and Advisory Services manager in generating reports and analyzing data to measure the effectiveness of training programs and events.

Evaluation and Reporting:

  • Assist in evaluating the effectiveness of training activities and events.
  • Collect and compile feedback from participants and instructors.
  • Prepare reports summarizing training outcomes and participant feedback.

Other Duties as Assigned

  • Support Chief Program Officer (CPO), Program leaders, and other team members on various projects, events, and assignments.

QUALIFICATIONS

  • Bachelor’s degree in a relevant field (e.g., Education, Business Administration, Event Management) or at least two years of equivalent experience.
  • Minimum of 2 – 3 years of event planning, training, and workshop coordination experience.
  • Proven experience in event planning and coordination, in a nonprofit, educational and/or corporate setting.
  • Strong organizational and time-management skills, with the ability to prioritize and multitask effectively.
  • Excellent communication skills, both written and verbal.
  • Proficient in using tools such as Zoom, Eventbrite, and Monday.com for event management and coordination.
  • Experience with CRM software for data management and tracking (e.g., HubSpot preferred).
  • Familiarity with budgeting processes and grant requirements is desirable.
  • Detail-oriented with the ability to prioritize tasks and complete assignments in a timely manner.
  • Ability to work independently and collaboratively within a team.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Adept at addressing complex problems and being solutions oriented.
  • Must be available to work evenings and weekends as needed.
