Job Description:
The Financial Aid Coordinator organizes document processing within the Financial Aid Office, serves as the Work-Study program assistant, and in addition, serves as the supervisor for Work-Study students in the Financial Aid office. The FA coordinator assists the Student Employment Manager in all aspects of student employment. This position also works with the Senior Financial Aid Coordinator to ensure that the Study Abroad program documentation is complete and recorded accurately. The Coordinator is responsible for assembling, processing, and verifying all incoming undergraduate and law application documents.

Essential Functions:
  • Serves as part of the Financial Aid team contributing to the development and implementation of policy and procedures.
  • Works with the Senior FA Coordinator to verify student aid packages before release.
  • Completes daily PowerFAIDS processes for incoming class applicants to ensure that the Slate online portal is updated and accurate for student application requirements.
  • Coordinates all financial aid materials received from applicants and returning students, both paper and electronic documents. Converts paper to pdf and transfers those documents to the upload server. Updates student records to reflect current document status.
  • Verifies tax documents for accuracy and completeness. Adds schedules, forms and waivers to student records as needed.
  • Creates aid folders for admitted and returning students as needed, including all application materials.
  • Processes award notifications and updates student and applicant award records in PowerFaids.
  • Works with the Senior FA Coordinator to coordinate and compile consortium agreements and adjust student aid budgets based on consortium values.
  • Serves as work-study supervisor for financial aid office student employees. Trains students to perform specific job requirements, coordinates student schedules, and organizes and develops student projects.
  • Verifies and approves financial aid office student employee payroll hours every two weeks.
  • Works with students to assist with pre-employment and onboarding tasks. Updates hiring managers on onboarding progress of new hires, notifying them when students are eligible to begin employment.
  • Trains and provides information to work-study and department-funded students regarding time entry, payroll, direct deposit, and Workday navigation.
  • Oversees the form I9/E Verify process to ensure student employees are authorized to work. Completes section 2 of the I9, verifying I9 supporting documents, and orders remote I9s for all work-study and department-funded students.
  • Records paper I9s and works with students to update the I9 in Truescreen once they are issued a US SSN.
  • Assists the Student Employment Manager in the student employment program, supporting Workday and Access processes, and serves as a backup when the Manager is absent.
  • Assists the Student Employment Manager in creating student employment positions, hiring students for open positions, verifying student employment eligibility and instructing students and managers regarding processes.
  • Assists the Student Employment Manager in the payroll approval process. Notifies managers when payroll submissions are due and assist in the accurate completion.
  • Assists in the review and approval of summer FWS time records and Academic year time records.
  • Additional related duties as assigned.
Work Schedule: Monday - Friday, 8:30 am - 4:30 pm
Minimum Qualifications:
  • High school diploma required.
  • Previous experience, preferably within financial aid, student services, or academic settings is preferred.
  • Strong records maintenance skills.
  • High-level user of personal computers and related software applications especially Microsoft Office Suite and other applications applicable to the office.
  • Must have excellent proofreading, grammar, and spelling skills.
  • Must be detail-oriented, can multi-task, and possess strong organizational skills.
  • Must be a self-starter and have the ability to work independently and communicate and interact effectively in a professional, confidential, and courteous manner with faculty, staff, and students.
  • Demonstrates ability to handle confidential and sensitive information.
  • The ability to work with frequent interruptions and manage multiple projects, priorities, and deadlines.
