WORK WEEK SCHEDULE

Monday-Friday (occasional evenings and weekends may be required for Board meetings and functions)

Position is not available for a Hybrid Telework workweek

POSITION PURPOSE:

Provides clerical support for the Wake County Board of Education and Senior Administrator for Board Relations, including answering/routing phone calls, preparation and distribution of materials and logistics for board meetings, taking meeting minutes, updating Board of Education Advisory Councils. Serves as the backup to the Senior Administrator, as needed.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)

  • Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, and PowerPoint; Google Apps;
  • Excellent organizational skills;
  • Excellent customer service skills;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to demonstrate a commitment to continuous quality improvement;
  • Ability to take meeting minutes;
  • Ability to be discrete and maintain confidentiality;
  • Ability to organize and maintain both paper and digital records and files;
  • Ability to work with a high level of accuracy to minimize errors;
  • Ability to meet departmental and payroll deadlines;
  • Ability to work independently, complete tasks, and exercise independent judgment in the absence of clear directives;
  • Ability to support and exhibit Wake County Public School System’s (WCPSS) core values of caring, respect,

integrity, responsibility, high expectations, being customer-driven, and valuing diversity;

  • Ability to establish and maintain effective working relationships with school system staff, students, parents, external agencies, and the community.

EDUCATION, TRAINING, AND EXPERIENCE

  • Associates degree from an accredited college or university; AND
  • Two years of experience in an administrative support, bookkeeping, accounting, or related position.

An equivalent combination of education and relevant experience sufficient to successfully perform the essential duties of the job may be considered.

PREFERRED QUALIFICATIONS:

  • Clerical experience in a school or academic office setting.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serves as a backup for the Senior Administrator.
  • Builds meeting agendas in Simbli and manages Board communications; collates and distributes Board of Education meeting materials.
  • Attends School Board meetings, workshops, public hearings, and School Board retreats; establishes and distributes the agenda, materials, and calendar for Board of Education meetings; completes the Board of Education meeting posting and updates; takes meeting minutes for Board of Education work sessions, and Recognition Meetings.
  • Answers and routes phone calls for the Board of Education and Senior Administrator.
  • Documents student due process hearings.
  • Ensures Board of Education meeting logistics (food, office supplies, set-up, and breakdown) are completed in an effective and timely manner.
  • Arranges for associated travel for School Board members to attend local, state, and national meetings to include registrations and accommodations; prepare expense reports for individual School Board members submitting documentation for travel reimbursement.
  • Performs other related duties, as assigned.
  • WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

    This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, outside advocacy groups, external agencies, vendors, parents, and students. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
