DEPARTMENT/PROJECT OVERVIEW

The Boys & Girls Clubs of Greater San Diego (BGCGSD or Clubs) CHANGES LIVES through quality programs and guidance in a safe, affordable, and fun environment. BGCGSD’s mission is to inspire and enable youth to achieve academic success, build good character and responsible citizenship, and make healthy lifestyle choices. POSITION OVERVIEW

The Director of Grants and Compliance is primarily responsible for researching potential funding sources that align with the priority outcome areas and mission of the organization; develop and write grant proposals to foundations, government entities, corporations, and other grant-making organizations; persuasively communicate the BGCGSD mission and programs to potential funders to successfully meet fundraising goals and objectives of the Clubs. Reporting to the Vice President of Development, the Director of Grants and Compliance will assemble and submit grant requests, establish and maintain personal contact and relationships with the Club's contracts, conduct prospect research, and maintain a calendar of submissions and other deadlines. The Director of Grants and Compliance is also responsible for the financial accounting and reporting of all grants and contracts already awarded to the BGCGSD from federal, state, city, and private sources. This includes ensuring accurate financial reporting and procedural compliance on all grants, including governmental grants. Responsible for executing the organizations compliance program, including ensuring the organizations management, employees, and volunteers are in compliance, and that company policies and procedures are being followed.

Special Conditions of Employment:

  • Occasional weekend and evenings in support of fundraising events, committee meetings, trainings, and activities.
  • CPR & First Aid Certification.

FUNCTIONS WITH CORRESPONDING TASKS

GRANT DEVELOPMEN T

  1. Research, prepare and submit all proposals and grant applications in support of the Clubs ongoing needs and priorities.
  2. Research potential funding sources through a variety of printed and electronic sources to match funding focus with BGCGSD projects and programs.
  3. Write, review, and edit proposals, develop case statements, letters of intent, and other related materials, for corporations and foundations following funding guidelines, parameters and procedures.
  4. Assemble and submit grant requests, including letters, proposals, budget and presentations.
  5. Conduct prospect research.
  6. Maintain calendar to ensure timely submission of letters of inquiry, proposal deadlines, and reports.
  7. Keep accurate records of programs being funded by foundation and government grants.
  8. Maintain grant and corporate request files.
  9. Research and compile pertinent institutional information for project requiring funding. This includes meeting with or contacting various staff or board members within the organization to garner information to be incorporated into case statements, letter of intent, proposals and reports.
  10. Develop relationships with external foundation representatives through consistent outreach and touchpoints, including but not limited to setting up recurring meetings, phone calls, and/or identifying engagement opportunities as it relates to their area of grant funding interest.
  11. Identifies, qualifies, cultivates, solicits, recognizes and stewards prospects and donors.

GRANT MANAGEMENT & COMPLIANCE

  1. Ensure compliance with sponsoring agency and grantor regulations
  2. Develop procedures, interact with program staff and outside entities, perform general accounting related to grants/contracts, ensuring compliance with regulations and laws.
  3. Prepare internal and external reports of considerable complexity requiring independent judgment, initiative, and extensive knowledge of the organization, accounting, and policies and procedures of various funding agencies.
  4. Maintain agreement-related files and database records for awards. Use existing grant management systems in place to monitor awards, provide grant reports, maintain grant compliance, and renew existing grants.
  5. Develop and maintain basic grant tracking systems and databases and communicate appropriately with Club staff, payroll and HR concerning policies and procedures and updates.
  6. Responsible for budgetary control of grants and contracts and proper expense classification based on grantor guidelines.
  7. Audit processes, providing guidance on and interpretation of applicable contractual and regulatory requirements.
  8. Develop and conduct training to contribute to organizational learning.
  9. Routinely travel to Club sites to conduct audits and evaluate compliance with federal and state laws, and Club policies and procedures.
  10. Issues corrective actions when audit reveals noncompliance on a particular grant.
  11. Serve as the BGCGSD resident expert on grant compliance and interpretation of grant requirements and all applicable regulations, policies and procedures.

ADMINISTRATION

  1. Collaborate with Operations and Accounting departments to ensure that grants being researched and sought after include accurate costing methodologies and budget allocations that are reasonable for the programs being proposed.
  2. Establish and maintain personal contact and relationships with BGCGSD and BGCA contacts and program officers.
  3. Provide writing support for major donor and individual contribution letters and acknowledgements.
  4. Provides grant interpretation guidance to senior staff. Assists in mentoring and training staff on grant contract provisions and fiscal policies, procedures and processes.
  5. Prepare briefing material for donor and prospective major donor visits for senior staff or board members.
  6. Serve as clearing house for all philanthropic grant requests.
  7. Monitor tracking reports of submitted proposals and donor activity both within and outside Development.
  8. Implement stewardship and compliance reports, monitor tracking system to ensure reporting requirements are met.
  9. Complete other duties as assigned.

QUALIFICATIONS

  1. Bachelor’s degree with 3-5 years relevant grant writing experience, non-profit fundraising or corporate relations experience. (Required)
  2. Proven grant writing experience with focus on private support from corporation and foundations. (Required)
  3. Knowledge and experience of fundraising and development functions. (Required)
  4. Excellent writing with meticulous grammar and spelling; analytical and research skills. (Required)
  5. Relationship Development: Determine how best to maintain effective relationships; demonstrated ability to relate well to and understand the needs and interests of others. (Required)
  6. Project management abilities; deadline driven, excellent attention to detail and follow through. (Required)
  7. Strong computer literacy required to seek and synthesize information and communicate in a compelling and succinct form. (Required)

  12. Proficiency in using Microsoft Office suite; (Word, Excel, Outlook) Experience in scheduling and maintaining multiple calendars in Microsoft Outlook. (Required)
  13. Previous work experience within a nonprofit or grant making foundation is a plus. (Preferred)
