Job Description
The Campaign Events Manager is responsible for the on-site logistics and pre-event business elements for development events for Vanderbilt University's Dare to Grow fundraising campaign. Working collaboratively with university colleagues, the Campaign Events Manager leads site selection, contracting, payments and other logistics related to the internal functions of campaign events and supports external production partner and Assistant Vice Chancellor (AVC) in executing memorable experiences designed to engage donors, alumni, and other constituents in the Dare to Grow campaign, ultimately contributing to the university's fundraising goals and overall success.
Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. DAR is responsible for the identification, cultivation, solicitation, and stewardship of individuals and organizations whose charitable objectives are consistent with those of the university's teaching and research programs.
Duties and Responsibilities
  • Manage business elements of strategic campaign events working closely with DAR leaders, university colleagues, external production partners, and vendors. This includes large-scale campaign roadshows and smaller, customized gatherings.
  • Assist in tracking of hosts, scheduling, and speaker selection for specialized, targeted events.
  • Coordinate and consult with DAR colleagues who oversee additional development and engagement events.
  • Collaborate with Vanderbilt's Communications and Marketing (MarComm) team to create and distribute invitations and key content to drive attendance and engagement.
  • Develop event registration page; handle vendor tracking of registration, contracts, and payments; produce name tags; provide on-site registration support; and reconcile post-event data in the system.
  • Oversee event logistics including staffing, registration process, day of services, and arrangements to ensure events run smoothly.
  • Create timelines and detailed budget projections and handle final expense reconciliations.
  • Support venue selection and vendor management activities.
  • Coordinate event staffing and provide training for staff with event responsibilities including, but not limited to, event tracking, name tags, site layouts, and budgets.
  • Oversee day of, on-site event execution.
  • Assist with post-event communications and customized messaging to attendees.
  • Analyze and evaluate event success via feedback from attendees and stakeholders.
  • Contribute content to an interdepartmental campaign newsletter.
  • Ability to travel 2-4 times per month, 12-72 hours at a time. Rate of travel dependent on seasonal event schedule.
  • Handle other duties as assigned.
Supervisory Relationships:
  • This position has no direct supervisory responsibility, though will manage onsite staffing for assigned events.
  • This position reports administratively and functionally to the Assistant Vice Chancellor of Development.
Qualifications
  • Bachelor's degree, or the equivalent, is required.
  • Ability to lift 25 pounds is required.
  • Ability to work flexible hours depending on event schedule is required.
  • Valuing the importance of equity as an organizational operating principle and committing to equity, diversity, and inclusion are required.
  • Minimum of three years of relevant experience managing events is preferred.
  • Excellent communication skills and meticulous attention to detail is preferred.
  • Strong computer skills (Word, Excel and FileMaker Pro) with willingness to learn new software is preferred.
  • Experience with database and project management software is preferred.
  • Experience with broadcast email is preferred.
  • The ability to exercise sound judgment in handling of confidential information is preferred.
  • A good understanding of space and logistics is preferred.
  • Being a team player who is highly motivated and service-oriented with courteous interpersonal skills.
  • The capacity to perform in an intellectually rigorous and complex academic environment.
  • The ability to work in an active team environment, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to shifting priorities.
