Summary/Objective:
The Commercial Property Manager is primarily responsible for primary oversight of a portfolio of 10 commercial properties comprised of company owned and/or 3rd party managed properties including performing property inspections, responding to emergencies, ensuring prompt resolution of tenant issues, management of vendor services, coordination with building facilities, development of and adherence to property budgets, performing lease administration functions and implementation of all building and company policies and procedures.
Essential Functions
  • Initiate and execute day-to-day operational procedures.
  • Ensure high performance and efficient operations of assigned properties through regular communication with tenants, vendors, and team members.
  • Ensure appropriate and timely response to client and ownership needs and requests.
  • Perform regular on-site building inspections initiate correction of deficiencies.
  • Solicit bids for service contracts and manage vendor performance.
  • Review and approve expense approvals (EA's) up to level of authorization.
  • Review, approve, and process purchase orders and invoices up to level of authorization.
  • Prepare monthly reports and annual operating expense budgets, calculate and bill monthly estimates, annual reconciliations, and periodic billings.
  • Regular review of property expenses and ensure adherence to property budgets.
  • Manage rent collection process, engage with delinquent tenants, and initiate legal action as required for assigned properties.
  • Manage tenant move in/move out process, perform inspections and prepare applicable documentation.
  • Maintain and update building policies and procedures and emergency preparedness protocol.
    Prepare tenant correspondence.
  • Build and maintain strong rapport with tenants, vendors, and local officials to ensure positive community relations.
  • Handle seasonal and specialty leasing requests and facilitate drafting of license agreements.
  • Perform lease administration duties including lease abstracting, data entry in property management system, and ensure proper set up and recording.
  • Coordinate with Director of Facilities on execution of all repairs, capital projects, preventative maintenance, and tenant build outs.
  • Assist VP of Leasing as needed through leasing process and ensure administration of lease requirements.
  • Assist with various marketing, social media, and promotional initiatives.
  • Engage in all special projects as assigned.
