JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: This position provides support for the Facilities Office, including processing of all financial documents and maintaining source documents.

DUTIES AND RESPONSIBILITIES:

  • Verifies and processes all procurement card purchases, as well as reconciling and maintaining all procurement card statements.
  • Processes all business transactions for Facilities business units including entry of time sheets, invoices, travel, cash deposits, and other IRIS transactions.
  • Works in conjunction with the Business Manager and Coordinators to maintain an electronic filing system.
  • Assists in resolving accounting issues such as billing disputes or collections by researching the problem, recommending a course of action, and follow up.
  • Works closely with vendors to handle any accounts payable issues/disputes.
  • Ensures that a monthly reconciliation of the department's financial records is performed with the Department Ledger Report.
  • Researches processing problems, contacts departments and vendors to resolve problems and expedite payment, and responds to inquiries by telephone or in writing; refers complex problems for solution.
  • Gathers and processes entry of monthly bi-weekly time sheets, transfer vouchers, travel & expense reports, and other business transactions.
  • Provides training to staff regarding accounting procedures, business practices and policies.
  • Ensure Archibus tickets are completed and attached accordingly for the approval of invoices.
  • Performs other related duties as assigned.

MINIMUM REQUIREMENTS:

High School Diploma or GED (Bachelor’s Degree preferred); three (3) years of directly related experience.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of spreadsheets and databases, charting and other software tools, such as Microsoft Word, Excel, Powerpoint, and Outlook.
  • Demonstrated analytical skills that allow for interpretation of budgetary, financial, and related information.
  • Excellent writing skills sufficient to draft professional reports and correspondence that is clear and concise.
  • Strong organizational skills to work independently and to prioritize a heavy workload under the pressure of competing assignments.
  • Excellent interpersonal, numerical, analytical, oral communication and problem-solving skills.
  • Attention to detail with a high degree of accuracy.
  • Ability to exercise good judgment and discretion, especially with regards to sensitive or confidential personnel or organizational matters.
