Job Details:

Purpose

To provide coordination and support for graduate programs in the Stan Richards School of Advertising & Public Relations. Among otherduties, this position requires a close working relationship with the MA and PhD Faculty Advisors and students.

Responsibilities

  • Act as department representative to University administrative offices. Maintain and manage graduate files to include active, inactive, and graduated student files, general program, financial aid, publications, etc.

  • Assist with registration process. Work with graduate advisors to help review registration and course options. Work with the Assistant Director of Administration to make sure graduate courses are properly scheduled.

  • Inform prospective graduate students and the public on eligibility for admission and program requirements. Coordinate and plan special events and meetings for graduate students.

  • Maintain and manage graduate Teaching Assistant (TA) files to include application, assignment, and signed TA contracts. Provides instruction and work assignments to student employees. Work with Assistant Director of Administration to make sure student appointments and Tuition Reduction Benefits are processed properly.

  • Plan, initiate, coordinate and implement graduate program administrative and operational procedures and policies.

  • Provide in-depth information, clarification and interpretation of institutional and graduate program rules and regulations. Responsible for ensuring compliance with institutional rules, regulations, and procedures.

  • Other related functions as assigned.

Required Qualifications

Bachelor's degree. Five years of experience in program administration or program coordination. Proficiency in Microsoft Word, Excel, and willingness to trained in the use of NRRECS, LASSO, DocuSign, InDesign, Workday, EASI, and FRMS. Knowledge of university policies and procedures; evidence of effective communication skills, strong attention to detail; demonstrated ability to prioritize and track tasks; strong interpersonal skills; ability to write status reports and create planning documents will be expected. Demonstrate initiative and follow-through; diplomacy and judgment in dealing with students, faculty, and administrators; professional demeanor.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

MA degree preferred. Experience in higher level undergraduate advising or graduate coordinator position. Experience with and ability to learn online tools for data collection and collaboration (examples: Google Forms, Docs, and Sheets; Qualtrics, Doodle Polls, Canvas, etc.) and proficiency in the following UT systems: *DEFINE, NRRECS, GSADM, EASI, NRECS, Workday, FRMS and Drupal.

Salary Range

$52,000 depending on qualifications

Work Shift

Work hours may include occasional evenings, weekends and some holidays during peak periods to meet deadlines. This position is eligible for a Flexible Work Arrangement (FWA) (on-campus and remote work). FWA arrangements will be discussed with the hiring manager and may shift due to changes in business needs.
