Purpose

This role will play a key part in coordinating many of the activities involved in advancing the CREO - Campus Real Estate mission. Successful applicant must be able to communicate exceptionally with co-workers, UT and UT System departments, supervisors, and the general public.

Responsibilities

* Assist Director of Real Estate and real estate staff with transactions and projects as assigned. Receive, route, and ensure resolution of inquiries and questions related to real estate assets, and office administrative and procedural problems. Efficiently organize own work, coordinate projects, set priorities, adhere to deadlines, follow up on assignments with minimal direction with attentive listening skills.

* Assist in the review, processing, and reporting of real estate lease payments to and from UT, including monthly account receivables and payables. Assist with the tracking of, and compliance with internal and external reporting obligations and deadlines. Ensure timely and accurate maintenance of departmental records and correspondence for portfolio of assets.

* Draft and send correspondence and memoranda. Communicate exceptionally with co-workers, UT and UT System departments, supervisors, the board office, the general public, and others effectively exchanging or conveying information as required.

* Attend meetings, take minutes, procure office supplies, and complete other assigned tasks through established processes and procedures.

* File Board of Regents minutes once they have been posted and document agenda items that have been approved.

* Other duties as assigned by the Director of Real Estate.

Required Qualifications

High School or equivalent education and experience in related field of work. Experience performing moderate to complex administrative and clerical functions. Experience as administrative support for a Director and/or Senior Management level. Experience and proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint programs. Experience with bookkeeping functions. Professional demeanor. Experience with performing basic research, and report to, or recommend solutions to the Director of Real Estate.

Preferred Qualifications

Bachelor's Degree. Five plus years experience performing complex administrative and clerical functions. Ability to manage a variety of tasks simultaneously. Strong interpersonal skills to effectively relate and interact with the university community. Knowledge of UT at Austin's policies and procedures. Knowledge of basic lease terms. Experience with Monday.com, in addition to those listed in required such as SharePoint.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
