University Payroll and Accounts Payable Coordinator (limited term) - 502501
SUMMARY:
Provides organizational and administrative support to both Payroll and Accounts Payable areas. Serves as cross functional liaison for a combined Disbursements Unit within the Controller's Office. This position involves a wide variety of payroll and accounts payable functions. Supports day to day operations related to compliance, reporting, and auditing.
RESPONSIBILITIES:
Cross Functional Unit Liaison:
  • Responds to inquiries from a variety of clients, vendors and other personnel for the purpose of facilitating communication and/or providing guidance among several parties; providing information and/or referral for addressing inquiry
  • Participates in meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job functions
  • Resolves routine and non-routine issues with unit business managers. Serves as a resource for financial matters and directs business units, as needed
  • Assists Department Managers and Supervisors with questions regarding time approval, payroll related budget issues, and payroll policies/procedures.
  • Assists Department Managers within the Unit with record retention of payroll and accounts payable documents, ensuring compliance with regulations and University Policy.
  • Assists employees with questions regarding submission of time, net pay, taxation of wages and W2 data.
  • Provides customer service to business units and vendors regarding a variety of procedures and program requirements, supplying information necessary for completing transactions, taking appropriate action, and/or complying with established fiscal guidelines
  • Provides vendor payment status to units and outside vendors
Reporting:
  • Prepares and distributes a variety of written materials and electronic financial information (e.g. standardized reports, memos, letters, voucher reports, procedures, tax listings for each vendor, 1099's, etc.) for the purpose of documenting activities, providing reference information, and complying with established financial, legal and/or administrative requirements
  • Performs weekly reporting on ADP Tax Totals to Banner Totals. Independently researches and works collaboratively with Payroll Unit to resolve discrepancies
  • Researches State and Local tax changes for all state reporting
  • Researches IRS changes surrounding W-2, W-4, 1099 MISC and 1099 NEC reporting
  • Participates in all year-end activities to include assistance with reconciliation to ensure any applicable statements/forms are accurate
  • Prepares ad-hoc reporting as requested
  • Escalates observations or issues to the management team which require attention to mitigate risks
  • Assists with escheatment of unclaimed property
Record Maintenance:
  • Performs record keeping and general clerical functions (e.g. scheduling, copying, faxing, basic accounting procedures, data entry, answering telephone, greeting, sending out certified letters, etc.) for the purpose of supporting departmental operations and providing updated information
  • Maintains a variety of financial information, files and records (e.g. purchase orders, invoices, shipment verification, accounts payable, contracts, student gifts etc.) to ensure the availability of documentation and audit trail compliance with established policies and regulatory guidelines
  • Scans all Payroll and Accounts Payable supporting documentation to ensure data integrity and that documents are maintained in accordance with the record retention policy
QUALIFICATIONS:
  • Strong communication skills, both written and oral

  • Ability to apply and adapt established methods to a variety of complex issues and/or problems

  • Knowledge of general accounting principles and mathematics
  • General knowledge of Microsoft Office products with strong computer experience and data entry work processing skills. Ability to utilize an automated accounting system for data entry, process computer data and format and generate reports
  • Some knowledge of federal or state regulations surrounding payroll and accounts payable
EDUCATION & EXPERIENCE:
  • High School diploma or GED required
  • Associate's degree in a business related discipline or an equivalent combination of experience and training appropriate to the position required
  • 2 years of general accounting experience with customer service and data entry experience. Experience in higher education is preferred
  • Less than 2 years Compliance audit experience, P-card experience, working with imaging system, travel and expense reimbursement experience, financial systems, and payroll environment.
WORK HOURS:
  • Full-time, non-exempt position
  • This position is limited term for a period of 18 months
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.70 to $22.12 per hour)
