**Office Manager & Event Coordinator**

The Office Manager and Event Coordinator will serve in a critical function within the Executive Office in Santa Barbara, helping to support the team in managing the everyday functions of the office, as well provide backup support to the Executive Assistant to the CEO and the Chief of Staff on projects ranging from meeting and calendar management to CRM tracking and technical updates. This role holds split responsibility of those of an office manager and those of an event coordinator. While the day to day responsibilities are mostly taken up by Office Manager duties, the Executive Office hosts several remote employees on almost a weekly basis and plans events at least quarterly. The planning, coordination and support of these events is a major part of this role and requires attention to detail, ability to multi-task, pivot as needed and manage groups of up to 100 people. This position provides the opportunity to work cross-divisionally and support colleagues in a multitude of ways. **ESSENTIAL DUTIES AND RESPONSIBILITIES**

Manage the daily operations of the Santa Barbara office including but not limited to: keeping work areas tidy and organized, making sure the kitchen is stocked and clean, organizing and picking up bi-weekly office lunches, working with IT to set up workspaces/efficient office design, welcoming external attendees upon arrival and helping them get situated.

Support the EO administrative team to develop systems and processes to enhance productivity and success for the leadership team, including coordinating necessary materials, conducting business analyses, etc.

Work with the Marketing Communications team and other key stakeholders on planning internal and external onsite events, as needed.

Provide additional coverage and, as needed, administrative support to the C-Suite.

Collaborate across teams to provide ad-hoc support as needed.

Take the lead on planning and organizing all aspects of office events, such as occasional happy hours, employee get-togethers, in-person meetings for remote departments, company-wide meetings with attendees in Santa Barbara and remote as well as plan and organize dinners for C-suite and visitors as needed.

Manage and maintain a schedule for the Corporate Apartment in Santa Barbara.

Manage the availability for employees wanting to visit.

Coordinate with landlord for any potential issues.

Manage the housekeeper to ensure prompt cleaning after employees depart.

Book and manage any hotel bookings for guests, employees and C-suite as needed in Santa Barbara and any other location.

**REQUIREMENTS**

Some experience in either Office Management or Event Planning, or

Executive / Personal Assistant experience, or

Previous management roles in Hospitality or Service Industry, or

Recent graduate in event management..

Teamwork: Willingness to reach out to and work with a wide variety of teams and stakeholders on different projects.

Ability to adapt and be flexible; to change gears quickly depending on priorities.

Willingness to take initiative and not be afraid to pitch in on projects, even if it might seem out of scope.

Keen attention to detail.

Professional and outgoing demeanor, especially when interacting with external stakeholders.

A sense of urgency and pride in their work .

An interest in learning more, asking questions, and seeking to understand the intent behind a project; offer suggestions for improvement as needed.
