Trinity Christian College is Hiring an Administrative Coordinator for Student Life Near Palos Heights, IL

Trinity Christian College seeks a full-time Administrative Coordinator for Student Life The Administrative Coordinator for Student Life is a full-time role that serves as the key point of contact for the vice president of student success, test center needs for the office of accessibility and accommodations, and general administrative support of the student life division and student success office. The coordinator creates a welcoming, professional and efficient office environment that supports the work of student life through supervising student workers and fielding inquiries via phone, email, and in-person interactions. The coordinator manages the student life office, calendar, and implements specific projects such as housing occupancy, immunization records management, key campus wide events, and various projects. In its test center capacity, the coordinator supports the director of accessibility and accommodation to liaise with faculty, manage student workers, and schedule proctored student appointments. The coordinator represents the mission, purpose and outcomes of the student life division.

The essential duties and responsibilities include but are not limited to the following:

Initial point of contact and hospitality for student Life

  • Greet visitors and connect them appropriate resources while creating a welcome and supportive environment.
  • Proactively develop strategies for office hospitality that embody the mission of Trinity Christian College.
  • Enhance the delivery of excellent student services including aesthetics, timeliness, and communication.
  • Hire train and manage student ambassadors
  • Maintain a centralized supply inventory for all Student Life areas
  • Track office equipment and manage routine maintenance
  • Triage crisis as appropriate.

Test Center Coordination

  • Hire, train, and supervise student proctors
  • Schedule the test proctoring time via Outlook Calendar
  • liaise with faculty and students to receive test proctor forms

  • Proctor tests when necessary
  • Manage test room and ensure proper conditions
  • Communicate with students the amount of time they have for their test.
  • Communicate with the Director of Accessibility and Accommodations about processes and documentation

Provide executive administrative support to the vice president for student success, and designated colleagues

  • Develop strategies to seek out tasks and projects that will enhance the work of student life by proactive communication.
  • Assist the vice president of student success with scheduling and communication as needed.
  • Collaborate with staff in and outside of student life to create smooth processes and efficient workflows
  • Prepare materials for meetings and support the vice president in gathering information, editing documents, and presentations as needed.
  • Organize student life advance, training, and hiring processes.
  • Coordinate data collection relevant to improve student services and retention
  • Query, update, and generate data in CAMS, Maxient, Slate, and other administrative platforms for Student Life related to retention goals.
  • Serve as part of Fall Fest and Opus committees
  • Provide support to implement commencement, move-in, student leadership training, recruiting, and hiring, or other campus wide events as appropriate and feasible.

Coordinate housing data

  • Manage housing and meal plan assignments for all students including data entry and history, occupancy, and usage reporting, distribution of housing and meal plan information and marketing materials.
  • Coordinate paper and electronic records for residential student move-in and commuter check-in.
  • Communicate with students and families regarding housing and meal plan questions.
  • Assist Residence Life Area Directors in the housing process by contributing to process communications, data input and gathering student housing form information.
  • Maintain the housing database and coordinate with student accounts and financial aid office to ensure accurate billing.
  • Administratively assist with campus housing events, including but not limited to move-in day, blueprints, returning student housing, etc.
  • Answer housing questions from students and families and redirecting towards resources as appropriate.
  • Contribute to Residence Life communications regarding campus breaks, facilities needs, and campus updates.
  • Collaborate with Residence Life Area Directors on Residence Life student worker timecards.

Manage Trinity’s Table

  • Coordinate with the Chicago Greater Food Depository
  • Hire and supervise a team of student workers to staff the pantry
  • Stock the pantry as needed
  • Set and advertise hours for the pantry

Mange records and processes

  • Assist vice president and deans with tracking expenses associated with reporting and accountability.
  • Maintain accurate, organized, and complete department files and records (electronic and paper)
  • Manage the collection of immunization records of newly enrolled students
  • Advise students of deadlines
  • Enter data and submit a report to the state board of health
  • Advise vice president and registrar of students not in compliance

Qualifications include:

  • High school diploma is required. Bachelors degree in social work, education, or a related field is preferred.
  • Minimum of 2-4 years of professional experience relevant to the mission of the office.
  • Professional expertise and integrity
  • Excellent computer and organizational skills
  • Excellent interpersonal skills
  • Experience in academic administration, liberal arts education, and student success services preferred.
  • Willing to undertake planning projects and other special tasks as assigned.
  • Willing to take advantage of external professional development opportunities to stay abreast of best practices in the fields served (student services, student mental health, case management, etc.)
