We are seeking an Administrative Coordinator for a finance company specializing in online banking services. The Administrative Coordinator acts as the first point of contact in the office, greeting visitors and employees with a friendly and cheerful demeanor. This role requires a magnetic personality and the ability to juggle multiple administrative tasks while contributing to a dynamic office culture.

Responsibilities:

  • Oversee ordering, stocking, and inventory of the office’s fully-stocked kitchen and office supplies.
  • Manage front desk duties, ensure timely opening of office functions, and create a welcoming atmosphere.
  • Provide daily office support: manage food service for events, schedule and set up conference rooms, troubleshoot office equipment, and handle mail and building security requests.
  • Organize office meetings and special events, maintain office cleanliness, and coordinate with janitorial staff.
  • Support various teams including People, IT, and Corporate Real Estate to maintain an office environment aligned with company culture and values.
  • Assist with the recruitment process, including scheduling and facilitating onsite interviews and preparing new hire desks and equipment.
  • Engage in and lead community and employee engagement activities, drive cultural and diversity initiatives, and participate in local volunteer activities.
  • Issue regular updates and communications to promote participation in workplace initiatives.

Requirements:

  • High school diploma or GED required; higher education degree preferred.
  • Minimum of 2 years of professional experience in office or facilities management; startup environment experience is a plus.
  • Demonstrated ability to thrive in a fast-paced environment and a passion for fostering team culture.
  • Strong multitasking skills with a keen attention to detail.
  • Excellent interpersonal, team-building, and communication skills.
  • Proficiency in Google Suite and familiarity with various office management tools.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Ability to lift 25 pounds regularly.
