Third Judicial Circuit of Michigan is Hiring an Information Specialist I (22 vacancies and to establish a list) Near Detroit, MI

SUMMARY:

Under direct supervision and based on assignment, performs a variety of communication related tasks in strict accordance with Court policies and procedures. Duties include informing the public of court account information, scheduling court cases and proceedings, forwarding notices of hearings, monitoring calendars and case progress and other duties as assigned. Also performs complex clerical tasks, which requires working knowledge of Court procedures, use of the case management system, customer-service skills, and the exercise of discretion. Employees in this title are expected to maintain a professional appearance and demeanor.

ESSENTIAL FUNCTIONS:

  • Responds to inquiries from the public, attorneys representing litigants, and other departments and agencies.
  • Coordinates the scheduling of court proceedings and maintains court calendars for each assigned judge.
  • Audits cases to determine if scheduling is necessary, records are current and complete, and determine if additional information is required. 
  • Directs parties to proper court rooms
  • Answers inquiries at the counter 
  • Disseminates information regarding Court policies and procedures to public at counter
  • Assigns and notifies House Counsel of proceedings
  • Tests case management system and notifies IT of any findings
  • Records information in court files.
  • Generates and furnishes court forms/documents.
  • Updates account information.
  • Computes and verifies account arrearage.
  • Initiates and updates court computer programs.
  • Enters support orders on Court computer systems.
  • Initiates inquiries to appropriate departments.
  • Maintains daily statistical data.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • High School graduation or its equivalent.
  • Two (2) years of successful, clerical experience.
  • Experience using MS Word, Excel, Outlook and relevant software and systems.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to apply general rules to specific problems to produce positive results.
  • Ability to meet and interact with the public, and explain Court procedures to internal and external customers in plain language that they can understand, deal courteously and effectively with their questions or problems, seeking assistance when needed
  • Ability to communicate information and ideas effectively, so that others can understand.
  • Ability to deal calmly and effectively in high stress situations.
  • Ability to establish and maintain effective working relationships with Directors, coworkers, employees, officials and external contacts.
  • Ability to operate office equipment.
  • Ability to understand and carry out instructions and to request clarification when needed.
  • Skill in managing one’s own time, as well as the ability to meet deadlines.
  • Working knowledge of Court processes and procedures.

WORK ENVIRONMENT:

  • Normally a typical customer service office environment with minimal exposure to excessive noise.
  • Employees in this title may encounter individuals who may be under duress.

PHYSICAL REQUIREMENTS:

  • Must be able to remain in a stationary position for long periods of time to perform job functions.
  • Ability to detect, create, and interpret documents.
  • Operate a computer and other office machinery, items, or equipment.
  • Must be able to move full mail bins, boxes, and files to various Court locations.
  • Position self to move from one place to another.
  • Communicate with clients, co-workers, and others.

LICENSES, CERTIFICATIONS OR SPECIAL REQUIREMENTS:

  • Candidates considered for placement in this job title will be subject to a criminal and/or IV-D background investigation and subsequent fingerprinting every five years.
