Crow Canyon Country Club Estates HOA is Hiring an Assistant Property Manager - Homeowners Association Near San Ramon, CA

GENERAL ROLE DESCRIPTION:

The Crow Canyon Country Club Estates located in San Ramon California is looking to hire an experienced administrative professional to manage the front office responsibilities. The Administrator will be responsible for working with residents to answer their questions or concerns and providing new resident orientation. The Administrator will also be performing clerical work such as filing, answering phone calls, and replying to emails, organizing and scheduling appointments and meetings, and coordinating the preparation of the committee and Board packets. The Administrator will also assist with executive administrative tasks and provide excellent customer service. We emphasize that all candidates must be detail orientated as the position primarily involves the review / administering of meeting minutes from various committees, board and committee packages, forms and other records.

Responsibilities

  • Answer phones & respond to E-mails.
  • Compile monthly Board Packets and Committee packets and scan to Board/ Committee and GM.
  • Register new homeowners & tenants.
  • Update documents/homeowner information in association software, Townsq, DwellingLive, EUnify, & C3
  • Attend assigned HOA Committee meetings.
  • Represent the Crow Canyon HOA in a professional / welcoming manner with the facilitation of homeowners requests and concerns.
  • File documents and forms in the appropriate depository.
  • Conduct proofreading tasks to ensure accuracy.
  • Independently track action items; ensure timely flow of organizational paperwork and check for accuracy and completeness prior to submission to management for approval.
  • Serve as a resource and interpret HOA policies and procedures to homeowners.
  • Manage calendars; independently determine scheduling priorities, committing, and managing time, and coordinating and scheduling multiple attendees.
  • Prepare Annual Disclosure (Nov) & Annual Audit Packet (April) docs to give to printers.
  • Perform all other relative duties as assigned.

Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Administrative experience with accurate keyboarding, professional command of grammar, proficient editing skills, and a high-level of attention to detail to prepare multiple documents.
  • Excellent communication and interpersonal skills necessary to interact effectively with a homeowners, committee members, Board of Directors and all levels of management.
  • Ability to multi-task, organize, and prioritize work.
  • HOA experience is a plus.
  • Familiarity with CC&R's, Bylaws and HOA practices!
