Position Summary:

The Events, Intern works directly with both the Events team and Academy team members to organize and coordinate Academy meetings and events. This role is responsible for working with the Academy staff to help transition and prepare from all virtual events to in-person programs. This includes assisting with day-to-day operations of the Events department, helping with member data, and other duties assigned by the Events, Vice President and/or Events, Senior Director.

Primary Job Duties:

  • Provide tech support for virtual Zoom events
  • Manage and create activity flyers, event signage and marketing
  • Hotel rooming and event registration tracking
  • Track staff flights, transportation & car service for VIPs
  • Prepare, pack, unpack and track event shipments
  • Assist with the set-up & testing of the event mobile app
  • Prepare member’s badges, table tents, menu cards, dinner cards and welcome notes
  • Update The Academy’s website and event software with the latest event information
  • Take inventory of, order and organize event supplies
  • Answer member inquiries through both phone and email
  • Update member records in both Salesforce and Cvent
  • Other duties as assigned

Additional Duties/Limitations:

  • Constantly operate a computer and other office productivity machinery, such as a telephone, calculator, copy machine, paper cutter and computer printer.
  • The person in this position frequently communicates with members both over the phone and in person and must be able to exchange accurate information communicated both via phone and in person.
  • Must be able to maintain a stationary position for an extended period.
  • The intern will work a maximum of 30 hours per week. Occasionally, evening and weekend hours may be necessary to complete project work.

Minimum Qualifications:

  • Intern candidates are current students pursuing their undergraduate or graduate degree 
  • Experience with Excel, Word, PowerPoint, Microsoft Teams, Salesforce, and Cvent are a plus
  • Demonstrated ability to execute tasks with a high attention to detail.
  • Interest in meeting and experience design

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required talk and hear. Specific vision abilities required by the job include close vision, and distance vision, the ability to maintain a stationary position for an extended period. Ability to lift and move over 20 lbs.

Compensation:
All interns in our program are paid $15/hr
