What you will have an opportunity to do:

The Groups Rooms Coordinator is to act as a mediator between the Front Office, Sales and Conference Planning in regard to all group bookings and conventions. Represent the Reservations Department when dealing with the client for rooming lists, retrieving reports and hotel inquiries. This position works closely with the Director of Rooms, Rooms Operations Manager and Reservation Manager.

Group Rooms Coordinator plays an integral role in ensuring that each of our groups are correctly booked with guest rooms. This position is responsible for positive interactions with the group contact in a friendly and efficient manner. They must also be knowledgeable of the HOST computer system with inputting reservations and making changes when changes are needed to be done with guest rooms. At all times, the Group Rooms Coordinator is expected to be attentive to our Guests' needs, making them feel comfortable, important and that all of their reservation needs will be taken care of.

Your Role:

• Must have 100% accurate data entry into Springer Miller.
• Review all group booking reports (Delphi) from Sales. Match Delphi and Springer Miller twice a week and confirm booking numbers are correct.
• Block groups (tentative and definite) in Springer Miller system, generating group rate codes and packages.
• Set up billing and routing for all group rooms per contract.
• Attend Group Rooms meeting and present status reports on blocks, pick-up, cancellations, billing and package codes.
• Interact daily with Conference Planning Managers, keeping up-to-date on changes, VIPs amenities and billings.
• Enter correct package codes and billing to all future groups and always audits them before turning over to Reservation Manager and then to Front Desk Manager.
• Run all pertinent reports for groups: Detailed Guest List, Detailed Reservation List, Rooming Lists, etc.
• Monitor room type and inventory of all groups as well as group booking cut off dates
• Work closely with Sales Managers on room inventory releases and oversell strategy.
• Work in detail with outside Meeting Planners when necessary.
• Assists Reservations Department by taking guest reservations and answering resort incoming calls / inquiries.
• At times provide assistance to the Front Desk or Reservations in coverage of those areas when necessary.
• Scheduled hours may vary on business needs and may or may not include holidays, weekends, various shifts, overtime, or reduced hours.
• Attend all Pre-Conference and Conference Review Meetings as needed.
• Required to perform other tasks and duties as assigned.

Environment:

Indoor office setting with a desk, file cabinets, computers, and telephones and with brightly lit florescent overhead lights. Comfortable ventilation with little circulation of air.

What are we looking for?

The right person will show reservation skills, must be passionate about customer service and should thoroughly enjoy creating excellent experiences for our customers. The ideal candidate will also have a friendly, outgoing disposition and previous experience working in Reservations or Front Office of a Hotel. This person will also be well organized and be able to work in a fast-paced environment.

• High School Graduate or Equivalent.
• One-Year Reservations or Hotel Front Desk Experience preferred.
• Well versed in Microsoft Office programs including Outlook, Word and Excel.
• Knowledge of Basic Computer Programs, previous experience with HOST and Springer Miller preferred.
• Hotel Front Desk and/or Group & Conference Experience Preferred.
