Job Description

Tallahassee Primary Care Associates is looking for a full-time RN/LPN Medical Office Manager for one of our medical offices. The successful candidate will have at least 2-4 years of management experience, preferably in a medical office.

Office hours are Monday - Friday, 8:00 a.m. - 5:00 p.m. with occasional overtime.

Applicants must pass a criminal background check, credit check, and drug test.

I. Minimum Qualifications

  • Must have a valid Florida LPN or RN License in good standing
  • Ability to work well under pressure and with others
  • 2-4 years management experience, preferably in a medical office or similar
  • Ability to work M-F, 8a-5p with some overtime
  • Current healthcare provider training (BLS)
  • Strong interpersonal, decision making and organizational skills
  • Must be able to pass a financial credit check
  • Computer proficiency: Microsoft Office
  • Ability to exercise good judgement

II. Essential Functions Of Position

A. Quality of Work

  1. Has complete knowledge of Group policies and procedures and the proper execution thereof
  2. Demonstrate knowledge of the organizational structure and thus provides efficient and effective communication with all patient reception and billing staff, collections staff and clerical staff
  3. Develop and recommend internal systems and operating procedures designed to achieve efficient and effective operations and maximum service to patients of the Group
  4. Formulate and recommend new or revised policies and procedures as required and monitor policies and procedures from implementation to on-going status or conclusion
  5. Provide overall management and oversight for all aspects of billing, collections, adjustments and A/R within the practice
  6. Has the ability to problem-solve various issues related to billing, collections, insurance companies, Medicare, Medicaid, HMOs and other third party payers, as well as personnel and staffing, policies and procedures and document flow systems
  7. Maintain direct involvement in meeting on a routine or non-routine basis, as required, with the physician and other TPCA central management staff and/or various committees of the organization
  8. Consult with billing staff, physicians and office staff in developing, establishing and implementing operational plans, policies and procedures within the framework of policies and goals of the Group
  9. Interpret and address the interests and preferences expressed by the physicians concerning medical care, staffing, billing, collections and related activities or policies
  10. Utilize or direct audits and/or periodic reviews to achieve quality assurance goals
  11. Identify and continually re-address the efficiency and effectiveness of the physician's office including issues of accuracy, completeness, competency, professionalism, timeliness, etc.
  12. Accept and successfully execute additional responsibilities as required by the physician, CEO and TPCA central management

B. Employee Relations

  1. Direct and oversee the planning and implementation of personnel policies that promote job satisfaction and professional growth of staff
  2. Ensure employees follow all rules and regulations that relate to employment, safety, medicine and waste disposal
  3. Conflict resolution
  4. Commend exemplary employees, discipline insubordinate employees and communicate necessary areas of improvement
  5. Track all employee incidents and report to Director of HR
  6. Consult and partner with the Director of HR in the termination of an employee
  7. Conduct employee evaluations
  8. Facilitate the preparation and submission of employee payroll
  9. Maintain Paid Time OFF (PTO) records
  10. Act as liaison for physicians and staff by maintaining open communication amongst staff
  11. Demonstrate employee confidentiality

C. Patient Relations

  1. Greet patients and visitors in a friendly and professional manner
  2. Assess the needs and concerns of patients regarding billing as well as the physician's office staff
  3. Talk with patients concerning accounts
  4. Settle patient's issues with employees
  5. Take care of PET patients; patients with many medical issues needing special care; numerous referrals, out of network referrals, weekly prescriptions, etc.
  6. Write letters for patient needs
  7. Demonstrate patient confidentiality

D. Financial Responsibilities

  1. Coordinate and maintain adequate accounting records and systems in matters pertaining to internal system controls and operations
  2. Analyze or direct the analysis for cash flow, billing and collections for the practice
  3. Work with the physician to assign budgetary parameters for the operation of the physician office
  4. Recommend adjustments to the budget based on office needs or overall goals
  5. Prepare a list of monthly expenses for approval
  6. Reconcile bank statements for joint account
  7. Verify and write checks for expenses for rental account and reconcile bank statements
  8. Maintain petty cash account

E. Clerical Responsibilities

  1. Order all office supplies and forms, receive, reconcile and distribute ordered supplies
  2. Ensure the maintenance of all equipment and buildings and report any problems
  3. Coordinate physician schedules
  4. Communicate all changes and updates to system, insurances or policies
  5. Handle all mail and ensure it is received by intended people

F. Clinical Responsibilities

  1. Follow Florida Statutes as they relate to the practice of practical nursing (LPN) and/or the practice of professional nursing (RN)
  2. Room patient and ensure all necessary information is documented
  3. Assist physician with clinical procedures
  4. Screen patients and utilize the nursing process of assessment, planning, intervention, implementation and evaluation
  5. Responsible for phone triage and the triage of patients before the physician examination if necessary
  6. Administer medications according to policy and procedure
  7. Call patients after a prescription (new or refill) has been called in to reiterate the pharmacy to which the prescription has been called in as well as the directions prescribed for the medication
  8. Demonstrate the ability to handle emergency situations in a prompt, precise and professional manner
  9. Obtain authorizations for tests, procedures and prescriptions
  10. Manage incoming clinical questions and prescription refills from the EMR mailbox system and appropriately manage his/her inbox on a daily basis
  11. Pre-load medications, immunizations, etc.
  12. Take vitals and conduct immunizations
  13. Take and record wet reads and forward to doctor
  14. Call patients with lab results and order additional tests needed in EMR
  15. Order labs and procedures when directed by doctor
  16. Complete all referrals
  17. Appropriately clean and sterilize clinical instruments before the close of each day as well as the exam rooms and restrooms between patients if necessary

G. Supervisory

  1. Efficiently and effectively delegate responsibility and authority for functions appropriate for the qualifications for the supervisory, administrative, medical billing and clerical support staff
  2. Implement and provide direct supervision on all staffing, promotion, leadership, development, cross training and merit increases based on established criteria
  3. Provide direct supervision to ensure staff members follow all policies and reduce risk liabilities
