TalentLink Solutions is Hiring a Client Service Associate - 35-Hour Work Week Near Riverside, CA

Our clients are everyday families, executives, doctors, and business owners, and we provide the requisite tools to help them achieve their financial objectives throughout various life stages. We have deep expertise in investment management, insurance, and employee benefits including pensions and 401K's, college planning, and social security. The Client Service Associate in our firm is not just a support role, it's an opportunity to directly impact the success of the practice. Partnering with the Founder, you will execute the service needs of clients and proactively anticipate upcoming roadblocks. You have experience answering phones, scheduling meetings, and managing and promptly facilitating the incoming flow of requests. You are an administrative pro who wants to be more and do more. If you are not already an expert in our industry with tasks like setting up new accounts, completing paperwork, and processing transfers, you want to be. You pride yourself on your high attention to detail and your unwavering ability to figure things out, especially with little to no direction. Being a two person team, this role is critical to the firm and our clients. We offer a long run rate for potential growth depending on your personal initiatives, work ethic, and goals. This is a part time position with the flexibility of working between 25-35 hours per week.
ESSENTIAL RESPONSIBILITIES

  • Schedule appointments, maintain calendar, and coordinate scheduling internally and externally, as needed
  • Coordinate with the advisor and clients to complete and process new account paperwork, transfers, contributions, and keep client accounts in good standing
  • Communicate, process, and follow up with clients on various client service items, including general questions, withdrawal requests, beneficiary changes, etc. following all to completion
  • Maintain client records in database, capturing notes from client calls and meetings; fully leverage and optimize the use of our CRM (Redtail), internal spreadsheets (Excel), and electronic files (DocuSign)
  • Prepare for client meetings including research, gathering documents, running reports, and contributing to presentations as requested
  • Manage the insurance process; application, design, scheduling exams, providing additional documentation, getting the policy finalized and delivered
  • Follow, manage, and monitor task list, effectively prioritizing time-sensitive requests or issues
  • Additional tasks will arise, including utilizing various specialized financial software applications (eMoney), project work and other opportunities to move the business forward
SKILLS & REQUIREMENTS
  • College graduate highly preferred, or equivalent work experience
  • 2 years' experience supporting a financial advisor or similar setting highly preferred; will consider general administrative backgrounds
  • Securities industry licensing or certifications preferred
  • A commitment to excellence; detail-oriented, client-focused, and highly organized
  • Tech-savvy and highly proficient in Microsoft Office suite; strong ability to learn and apply new software systems quickly
  • Experience working with various custodial platforms and knowledgeable of custodial processes highly preferred
  • Strong time management skills; ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions
  • Extremely reliable, self-motivated, and ability to work independently
  • Excellent interpersonal and communication skills; ability to communicate in a pleasant, tactful and effective manner (both orally and in writing), and to handle difficult, sensitive issues

  • Must be willing and able to complete a background and credit screening as an employee of a FINRA-regulated advisor; Final job offer is dependent on successful completion and approval by the broker/dealer firm.
