Job Description:\n\ns u n d a n c e Job Title: Grounds and Landscaping Maintenance Manager Reports To: Facilities Manager Rate of Pay: DOE Shift: Variable shifts supporting business demands: Evenings, weekends, holidays and special events are required based on business needs and on-call for emergencies. FLSA Status: Exempt/Salaried SUMMARY Manage all aspects of the Grounds operations in maintaining the Grounds to the Sundance standard. Candidate must have project management experience and be able to manage outside contractors/vendors to hold to timelines, costs, efficiencies etc. The Grounds Manager must be able to identify efficiencies in accomplishing work. Organization is critical to this position to ensure demands are met and teams are prepared for daily tasks. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. LEADERHIP Develop a Grounds Team that is cohesive, focused and understands the One Mountain One Team concept and lives it out loud every day. Conduct pre-shift meetings with crew and assign projects and tasks for the day. Supervise all work to be done in-house and any items contracted out. Exercise Leadership when coordinating with other departments. Be collaborative and supportive of other departments and their needs. Plan, develop and implement new methods and procedures designed to improve operations, minimize operating costs, and affect greater utilization of labor and materials. Develop and implement on-going training program to keep skills up to date. Interpret, support, and enforce company policies and procedures with staff. Use accountability tools appropriately when necessary. Create and build a culture of customer service with Grounds Teams. Provide, Train, and hold all staff accountable for proper PPE and Safety. Immediately address issues with staff not following safety protocols. Anticipate upcoming events, groups & departmental needs and build into daily, weekly, and monthly schedules. Motivate Team members to work efficiently and be self-motivated. Perform annual performance reviews according to Sundance standards. Represent Sundance as a Manager to other Resort Leaders, Community Members, Vendors, HOA's etc. ADMINISTRATIVE Create yearly, monthly, weekly, and daily ground plans. Establish and adhere to annual department budgets. Oversee and report on department's monthly profit and loss. Approve and Code all invoices through AvidXchange based on Accounting monthly and yearly deadlines. Follow appropriate protocol when coordinating projects involving other departments. Review group resumes and manage all requests to ensure group needs are met. Ensure that staff possesses appropriate licensing and certifications in accordance with State and Federal Laws. Create bids and estimates on requested projects for Resort, HOA's & Homeowners. Ensure timely ordering of parts and equipment to ensure that projects are not waiting on supplies. Correct all unsafe conditions that are reported by staff or safety department. Comply with OSHA standards and regulations. Demonstrate exceptional guest service, accounting, computer, organizational, and communication skills. Ensure employee and guest injuries are reported to Safety. Attend weekly Leadership meetings and report on department's progress and goals. Establish and manage relationships with equipment rental companies to insure best rental and lease rates on needed equipment. Maintain vendor relationships to insure best rates and highest quality products. Develop and implement small and heavy equipment training. Ensure that all employees, working for the Grounds Department, are trained properly and the necessary documentation has been recorded. Backhoe, skid steer, lawn mowers, snow blowers, weed eaters etc. Manage HOA service agreements and ensure Grounds and Landscaping is fulfilling contractual obligations.Coordinate with HOA's to suggest projects that will help ensure that HOA grounds are safe and aesthetically pleasing for staff and lodging guests. SNOWREMOVAL Develop and execute strategic plan for effective snow removal. To include pathways, mountain homes & HOA's. Ensure that all snow removal equipment is maintained and in working order prior to and during each winter season. All snow removal equipment should be ready to go by November 1st each year. Ensure that pathway ice melt & storage containers are stocked and in place by November 1st each year. Distribute snow shovels, snow blowers and other snow removal equipment around resort to each department. Equipment should be in place by November 1st each year. Coordinate with outside snow removal services for back up assistance on roofs & pathways when necessary. Manage this work within budgeted #'s when possible. Track and record daily snow removal efforts to include work done, location and time for snow removal and salting. Be good at looking at forecasts and being able to plan ahead for storms. Create daily plans so that when staff arrives they have proper direction and tools to do their work. Ability to operate heavy equipment. GROUNDS & LANDSCAPING Maintain walkways, pathways, existing natural foliage, and parking spaces by providing pruning, weeding, weed eating and trash removal services from such areas and ensure that grounds are maintained to the preferred and 4-star level. Manage plan for mitigating & removing all dead trees around Sundance. Oversee all trash and recycling receptacles. Plan should be created to ensure receptacles are well managed and don't overflow. Adjust plan based on anticipated business levels. Incorporate landscape remediation and a watershed protection plan for all construction sites. Ensure landscaping plan meets Sundance environmental standards of using native & drought tolerant plants and water conservation guidelines.Maintain sprinklers in working order such that the sprinklers turn on and off per programmed schedule.Create, distribute and maintain flowerpots, as needed.Maintain lawn areas and establish best watering standards for all lawns.Work with approved and appropriate outside vendors to support in areas such as; irrigation, turf management, tree management etc. Anticipate events and groups and ensure function spaces are aesthetically appealing and well maintained. REMOVAL OF WASTE Oversee recycling and waste management plan.Ensure public, exterior recycling and trash containers are regularly emptied at key times of the day. Make plans for fluctuations in business levels to make sure we don't have overflowing garbage's. Make sure that garbage's are adequate for all events.Oversee the pumping of all grease traps.Manage green waste to Sundance standard. Coordinate pick up w/ recycling vendors. Keep recycling areas clean, organized, and safe. Organize, break down, and bail all cardboard Manage Clivus to ensure waste is removed and managed appropriately. Manage open top dumpsters as well as trash compactor. ENVIRONMENTAL Work closely with the Director of the Sundance Preserve & Sundance Environmental Coordinator to establish environmental initiatives for the resort and work with the various departments to execute these initiatives. To include weed abatement, forest health, run off, product sourcing etc. etc. Develop water conservation plan to help reduce water use around property. Specifically in grounds and landscaping areas. Make sure that plants, seeds, trees etc. that are planted are appropriate and where possible, indigenous to the region. Work with Sundance Nature Alliance, Forest Service and other agencies in working on beetle infestations and noxious weeds. ALL SUNDANCE REPRESENTATIVES ARE EXPECTED TO: Embrace and promote all facets of the Sundance Guiding Principles: vision, mission, cause, tenets service standards and values. Exhibit job and product knowledge to accurately support and promote all Sundance departments, amenities and programming ventures. Strategically balance customer, business, and employee needs. Be able to work a flexible schedule, work well under pressure, and meet multiple & sometimes competing deadlines. Possess the necessary social skills to work with a broad based constituency and provide excellent service to all internal and external guests. Demonstrate cooperative behavior with colleagues and supervisors. Keep information confidential as directed in the confidentiality agreement and furthermore support and comply with all Sundance policies, procedures, and standards. Protect Sundance assets. Be an ambassador of Sundance inside and outside of work. SUPERVISORY RESPONSIBILITIES Manages up to 2 Supervisors as well as necessary staff to handle seasonal demands. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Complete all applicable paperwork for the above responsibilities and submit to HR in a timely manner. Responsible for annual reviews of department supervisors and staff. ENVIRONMENTAL COMMITTMENT Support and participate in environmental programs associated with position: minimizing waste, recycling, energy conservation, purchase and use of sustainable products, education on environmental ethic, support vendors with similar ethic, decrease pollution levels, minimize the use of toxic chemicals, restore wild life habitats. A.) from four-year college or university; and three to five years related experience horizontal construction teams at a comparable property; or equivalent combination of education and experience (eight to ten years). Must be able to operate a variety of heavy equipment including front-end loader, track-hoe, etc. etc. Posses an understanding of heavy equipment maintenance. TECHNICAL/COMPUTER SKILLS Must possess a working knowledge of word processing, spreadsheets, internet navigation and electronic mail. CERTIFICATES, LICENSES, REGISTRATIONS Must possess a valid U.S. Drivers' License in good standing as determined by Sundance's Insurance Company guidelines. LANGUAGE SKILLS Ability to read, analyze, and interpret common scientific and technical journals, blue prints, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups, and/or boards of directors. MATHEMATICAL SKILLS Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry.
