Your Specific Responsibilities:

This is a clerical/para-professional position within the Special Nutrition Program for Women, Infants, and Children (WIC). This position functions independently and performs clerical work that includes maintenance and accountability of multiple inventories, switchboard operation, when necessary, distribution of WIC information, file management, and assisting with the completion of the monthly reports of program operations. This position will assist in scheduling, reminding and following-up on calendar tasks for the WIC Coordinator. The employee is responsible for good communication of all program issues with their supervisor. Clinical duties will also be performed at the main clinic or other WIC satellite clinics when necessary. The employee will be expected to foster teamwork and assist when clinic staffing is short. This employee will be required to satisfactorily complete the State of Florida Nutrition Training Series. Employee must be able to work with all clients in a fair and impartial manner. Employee will support and promote excellent Customer Service. Compliance with all standards associated with this position is required, along with adherence to security, integrity and confidentiality regulations, policies and procedures related to information under the direct control of this position. This employee will come to work and exhibit an attitude of friendliness and eager customer service towards all program participants, and act respectfully and courteously to fellow employees and program participants. Complies with all rules and regulations in the employee handbook. Completes timesheet and EAR's as directed. The following job responsibilities are completed in accordance with DHM 150-24.

Prepares, updates, receives, and maintains all inventory for the Artificial Baby Milk (ABM), FL-WiSE ABM Inventory, Direct Distribution, and Interagency ABM Transfers. Correctly processes all formula invoices for the Jackson WIC Agency. Maintains order and receipt of WIC Literature quarterly. Maintains the FL-WiSE Appointment System Template. Maintains, coordinates, and distributes all items associated with the WIC Farmer's Market Nutrition Program. Maintains the WIC Voter Registration initiative for the program. Prepares, updates, and maintains all information used in the Voter Registration Report, Direct Distribution Formula Report, and EBT Card Inventory Report as it is received from each site. Responsible for running the following reports: : Dual Enrollment Report, Indicators, WIC Ineligible Client Report, Access Monitoring Report, Benefits Over Issuance Report, Single Use Certification Report, Voter Registration Report, EBT Card Replacement Report, Income Verification-Other Add Note Report, Out of State Transfer Report, Foster Children Report, Short Certification Report, Civil Rights Compliance Report, No Proof Form Report, User Role Report, Direct Distribution Formula Monthly Report, and EBT Card Inventory Report. Serves as Vendor Manager for the Jackson WIC Agency including Vendor Compliance Reviews, New Vendor Adds, Yearly Vendor Training, attendance in Vendor Manager TEAMs meetings and maintenance of Vendor Files for audit purposes. Maintains the Customer Satisfaction Reports monthly.

Performs and records accurate measurements (heights/lengths and weights) and Hgb as needed for certification or follow-up. Documents information in the participants WIC Administrative record, as appropriate. Makes referrals to appropriate providers according to established procedures. Provides breastfeeding support, equipment and information and refers to appropriate Breastfeeding Specialist. Records alerts in the FL-WiSE System to communicate participant needs. Appropriately routes calls/questions to nutrition staff when needed or out of scope. Uses CDC approved equipment correctly. Serves as a backup to call clients regarding appointment reminders and missed appointments. Also assist with mailing out appointment postcards. Correctly schedules participant appointments using the FL-WiSE Appointment System. Answers WIC clerical office phones and answers participant questions, provides requested service via phone if appropriate, or routes call to nutrition staff if appropriate when needed.

Assists with compiling items needed for the WIC Monthly Report of Program Operations and the Breastfeeding Peer Counseling WIC Monthly Report of Program Operations. Submits all needed items to the local designee in a timely manner. Maintains the WIC Coordinators files for audit purposes. This position upholds the Certification of Acknowledgement - Section 215.422, Florida Statutes, and Chapter 3A-24, Florida Administrative Code (Prompt Payment law) and comply with the mandatory requirements of Section 215.422, Florida Statutes and Chapter 69I-24, Florida Administrative Code.

Serves as the WIC Property Inventory Taker for all sites within the Jackson WIC Program. Maintains WIC Calendars, both the Shared Staff Calendar and the WIC Clinic Calendar. As well as assisting with the WIC Coordinator's calendar and schedule. Monitors and requests clinic and/or clerical supplies and materials to assure a smooth service provision and inventory control. Ensures all WIC mailouts are stamped and delivered to mail drop box by 11:00 AM daily.

All other duties as assigned.

* Knowledge of FMNP.

* Skilled in use of FL-WiSE.

Qualifications:

Minimum-

* Do you have verifiable clinical experience.

* Do you have verifiable inventory experience.

* Florida Department of Health is required to work before during and or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs shelter or performing other emergency duties including but not limited to, response to or threats involving any disaster or threat of disaster man-made or natural.
