About the Department:

The Department of Counseling is a part of the prestigious Annette Caldwell Simmons School of Education at Southern Methodist University. SMU Counseling program is ranked nationally among the top 10 best value schools and offers three CACREP accredited Specialties: Clinical Mental Health; Marriage, Couple & Family; and School Counseling. The department maintains approximately 300 graduate students whose capstone experience is practica in the state-of-the-art SMU Center for Family Counseling under the supervision of distinctive clinical faculty. The Center offers counseling services to the community and provides a laboratory experience for students prior to clinical internship. Supportive faculty work collaboratively to sustain a nurturing and innovative environment focused on embracing diversity, pluralism, and advocacy, which is the hallmark of the program and has contributed to its ongoing success.

About the Position:

This role is an on-campus, in-person position.

The Coordinator provides administrative support to the Program Specialist as well as to the Department Chair, Program Director, faculty, and students. Oversees front office reception area duties and regularly interacts with multiple constituents including students, prospective students, faculty, staff and the general public. This person is the first point of contact with anyone who calls the office or comes in person. Receives guests and directs them accordingly. Provides wide-ranging administrative support in areas of admissions, events and faculty/classroom support.

Essential Functions:
  • Coordinates reception area coverage, answers incoming phone calls, responds to email inquiries, greets and directs all in person visitors and maintains program calendar. Order supplies. Maintains program/student listserv and sends out non-curricular email announcements to students. Prepares graduation cards every semester for faculty signature and mailing.
  • Provides administrative support for day to day operations. Prepares beginning and end of term documents. Monitors and coordinates student background checks, liability insurance, photo releases and protection of minor training. Enters data into operational spreadsheets such as CACREP data collection (KPI's), Faculty Advising, Alumni email list and admission spreadsheet.
  • Run reports, monitor and relay status of applicants in Slate to Program Specialist and Program Director. Upload updated liability insurance and protection of minors certificates to Slate for each student. Run report to check for students with expired liability insurance. Monitor Slate for applications each semester.
  • Provides support in preparing for large group advising sessions, faculty/adjunct orientation sessions, guest lecture events, Advisory Board events, faculty workshops and counseling meetings. Provides administrative support in reviewing admission applications and with preparations for interview days (PONI Days). Submits and coordinates catering request and room reservations.
  • Serve as a back up for critical functions to maintain office operations. Stay up-to-date on program changes and operations in order to fill in when needed.
Education and Experience:

Associate's degree is required. Candidate with degree in field of study in Business Education, Social Science and Humanities is preferred.

A minimum of two (2) years of experience is required.

Knowledge, Skills and Abilities:

The ideal candidate must have office administration experience. M ust also demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. Speed and accuracy is an essential element in this fast-paced office where many interruptions are the norm. This position requires appropriate phone and email etiquette and level of comfort interacting with all audiences including the public, staff, faculty, students and administrators. Candidate with experience managing a p-card or financial responsibilities is preferred.

Candidate must be highly skilled in Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Publisher. Knowledge of Microsoft Access is a plus. PeopleSoft knowledge is desired.
