Job Overview
The Program Coordinator supports the U.S. Department of State, Middle East Partnership Initiative (MEPI)funded Student Leaders Program (SLP), a non-degree leadership scholarship and program for Middle Eastern and North African (MENA) competitively selected university students. The Program Coordinator provides critical administrative, logistical, and IT/technical support for the SLP team. The Program Coordinator works closely with the SLP team and with diverse stakeholders - U.S. Department of State, U.S. Embassies across the MENA region, University faculty and staff, MENA youth leaders, MENA consultants, and service vendors (hotels, travel companies, event management and catering services, software companies, amongst others). This requires excellent communication (verbal and written) as well as superior interpersonal customer service skills. The position supports planning processes with three partner universities as well as with GU faculty and staff.
The Program Coordinator position requires excellent technical skills to manage a variety of online sites to design content (applications, surveys, forms) and to run analytics on participant responses. Examples of online site administration includes designing and managing the recruitment application platform and content (SurveyMonkey Apply application site receives 11,000 applications per annual recruitment cycle); generating weekly analytic reports from participant applications for the U.S. Department of State/MEPI; interfacing with site managers to troubleshoot issues and challenges, responding to applicant inquiries, updating manuals for different user functions, and working with U.S. Embassy personnel across the MENA region to recruit and manage participants. This position provides support for both in-person programming as well as support for fully online virtual programming in response to the COVID-19 pandemic. For online training and programmatic sessions, the Program Coordinator will arrange for use of GU Canvas, develop course structure, and technically facilitate virtual sessions on Zoom, serving as the primary point of contact and support for the different users. The Program Coordinator will also train students, faculty and staff on virtual programming technology enabling them to effectively pivot from an in-person program to a fully online program.
As a designated SEVIS Alternate Responsible Officer (ARO), the Program Coordinator is responsible for working with eight to twelve U.S. embassies to ensure SEVIS-compliant correct data input, issuance and processing of DS-2019 forms, and managing all participant J-1 visa SEVIS status needs and requirements in accordance with US regulations.
The Program Coordinator is responsible for participant and university staff domestic and international travel arrangements (ticketing and visas), logistics coordination and contracts with service providers/vendors such as hotels, transportation companies, cultural and educational institutions, U.S. and international consultants, health insurance, etc. Specifically, the Program Coordinator must be comfortable with complex and detailed travel and visa arrangements for participants (ex. Libya and Yemen), events management for the intensive 5- week U.S. summer program in Washington, D.C as well as a week-long follow on conference in the MENA region.
The Program Coordinator will use excellent interpersonal skills in following up with MENA youth leaders and consultants for a variety of tasks, including coordination of stipend payments to individuals across the MENA region. The Program Coordinator will develop and support website content, promotional materials, success stories, and reporting of program performance and evaluation for the quarterly reports, as well as for other reports.
